Client Management - Nested Groups

Overview

Groups in Client Management can be organized into a hierarchy by assigning a parent group, allowing you to represent real-world structures like regions, districts, and sites at any depth.

Accessing Group Management

Groups are created and managed from Client Management.

  1. Log in with a Client Manager, System Admin, or Brand Admin account — Client Manager opens automatically

  2. If the list is in table mode, click the ellipsis (⋮) menu and select View in Card Mode

  3. Use the + button or the group context menu to create or edit groups

How to Create a Top-Level Group

Create a group with no parent — it appears at the root of your client hierarchy.

  1. In Client Management, click the + button

  2. Select Add Group

  3. The New Group panel opens on the right side of the screen

  4. Enter a Group Name (required, maximum 256 characters)

  5. Leave the Parent Group field set to None (Top Level)

  6. Optionally upload a Group Image (JPG or PNG)

  7. Click Create

  8. A confirmation message displays: "Group '{name}' created successfully."

How to Create a Nested Group

Create a group that lives inside another group.

  1. In Client Management, click the + button

  2. Select Add Group

  3. The New Group panel opens

  4. Enter a Group Name (required)

  5. In the Parent Group dropdown, select the group that should contain this new group

    • All accessible groups are listed in the dropdown

    • Select None (Top Level) to make the group a root-level group instead

  6. Optionally upload a Group Image

  7. Click Create

  8. The new group appears nested inside the selected parent group

How to Edit a Group's Parent

Move a group to a different location in the hierarchy by changing its parent.

  1. Locate the group you want to move

  2. Open the group's edit panel by clicking the Edit button

  3. In the Edit Group panel, update the Parent Group dropdown to the new parent

    • Select None (Top Level) to move the group to the root level

  4. Click Save

  5. A confirmation message displays: "Group '{name}' updated successfully."

Note: You cannot set a group's parent to one of its own descendants — this would create a circular reference. The system automatically prevents this by excluding descendant groups from the Parent Group dropdown when editing.

Understanding Group Hierarchy

  • Top-Level Groups — Groups with Parent Group set to None (Top Level); they appear at the root of your client list

  • Nested Groups — Groups assigned to a parent; they appear inside the parent group's card view

  • Depth — Groups can be nested to any depth; a group can be a child, grandchild, or deeper in the hierarchy

  • Clients — Individual client tenants can be placed inside any group at any level of the hierarchy

  • Navigation — The side panel displays the group hierarchy with breadcrumb navigation so you can move between levels

Understanding Circular Reference Prevention

When editing a group, the Parent Group dropdown automatically excludes:

  • The group itself

  • Any groups that are descendants of the group being edited

  • Any groups you do not have access to

This prevents invalid structures where a group would become its own ancestor. If you do not see an expected group in the dropdown while editing, it is either a descendant of the current group or outside your access.

Best Practices

Use Consistent Naming at Each Level: Name groups in a way that indicates their level (e.g., "Region - Northeast", "District - Boston") so the hierarchy is easy to read in the side panel.

Nest for Reporting and Filtering: Nested groups allow you to aggregate data across all clients in a group and its subgroups — organize your hierarchy around the reporting dimensions that matter most to your team.

Limit Nesting Depth When Possible: Very deep hierarchies can be harder to navigate. Aim for the minimum depth that accurately reflects your structure.

Troubleshooting

Issue: A group is not visible in the Parent Group dropdown

Solution: You may be trying to select a descendant of the group being edited — descendants are excluded to prevent circular references.

  1. You may be editing a group and trying to select one of its descendants as a parent — descendants are excluded to prevent circular references

  2. Verify the group exists and that you have access to it

  3. If the group is a descendant of the one being edited, reorganize by editing intermediate groups first

Issue: "Failed to create group" error appears

Solution: Check that the Group Name is not empty and is unique within the same parent.

  1. Confirm the Group Name field is not empty

  2. Ensure no other group in the same parent already has the same name

  3. If the image is still uploading, wait for it to finish before clicking Create

Issue: A group is not appearing in the expected location in the hierarchy

Solution: Check the group's Parent Group field — it may be set to None (Top Level) when it should be nested.

  1. Open the group's edit panel and check the Parent Group field

  2. If the parent is set to None (Top Level), the group will appear at the root — change the parent if it should be nested

  3. Refresh the page if the hierarchy display does not update after saving

Summary

Nested groups allow you to organize clients into a multi-level hierarchy in Client Management. When creating or editing a group, set the Parent Group field to place it inside another group, or leave it as None (Top Level) to keep it at the root. Groups can be nested to any depth, and the system prevents circular references automatically. Use hierarchy to reflect your real-world organizational structure and make your client list easier to navigate.
