Overview
Client Managers can copy form templates across tenants and groups, making it easy to roll out standardized inspection, maintenance, and operational forms organization-wide without needing to rebuild them from scratch.
Accessing the Copy Form Templates Feature
Role requirement: You must have a Client Manager, System Admin, or Brand Admin account to access and copy form templates. Contact your administrator if access is needed.
Use the Client Manager to navigate to a group or tenant's form templates and initiate a copy from there.
Log in as a Client Manager or Brand Admin account — Client Management view opens automatically
If the list is in table mode, click the ellipsis (⋮) menu and select View in Card Mode
Select a Group or Tenant that contains the form template you want to copy
Click the Templates tab
Select the checkbox of the form you want to copy
Click Copy Items

How to Copy a Form Template to Another Tenant
Share a form template with another tenant to standardize forms across facilities.
Navigate to Templates in the source Tenant or Group
Click the Forms subtab
Select the form template using its checkbox
Click the Copy Items button in the action bar
In the copy panel, select the Target Tenant from the hierarchical location tree
Review that the template name matches your expectation
Click Copy Items to complete the copy
The form template is now available in the target tenant
How to Copy a Form Template to a Group
Store a form template at the group level for organization-wide access and preparation for deployment to multiple tenants.
Navigate to Templates in the source Tenant
Click the Forms subtab
Select the form template using its checkbox
Click the Copy Items button in the action bar
In the copy panel, select the Target Group from the location tree
Click Copy Items to complete the copy
The form template is now available at the group level
Note: Form templates copied to a group are not automatically distributed to tenants within that group. Individual tenants must request their own copies through the copy function.
How to Update a Form Template Across Multiple Locations
Modify a form template in one location and propagate the changes to all copies across locations. Before updates can be applied, the form template must first be copied from one tenant to another to ensure the changes sync correctly.
Open the form template you want to update in the source Tenant
Edit the template (add questions, modify logic, update required fields, etc.)
Save your changes
Return to Templates in Client Manager and click the Forms subtab
Select the updated form template using its checkbox
Click Copy Items in the action bar
In the copy panel, select each Target Location you want to receive the updated template.
Note: Target Locations are the tenants you previously copied this template to — do not select the source tenant where you made your edits.
Click Copy Items to complete the operation
Any existing copies at the selected locations are updated in place — no duplicates are created
Note: Previously copied templates retain internal links to the source, so copying again updates the existing copy rather than creating new duplicates.
How to Copy Multiple Form Templates at Once
Deploy several form templates to the same target location efficiently.
Navigate to Templates in Client Manager and click the Forms subtab
Select all templates you want to copy using their checkboxes
Click Copy Items in the action bar
In the copy panel, select your Target Location from the location tree
Click Copy Items to copy all selected templates at once
All templates are deployed to the target location
How to Manage Templates That Exist in Multiple Locations
For templates deployed across several tenants, establish a consistent update workflow.
Designate one Source Tenant where you maintain the primary template
When you need to update the template, edit and save it in the source tenant only
After updating, copy the template from the source tenant to all target locations
The system updates existing linked copies rather than creating duplicates
All tenants now have the updated version
Understanding Form Template Linking
Form templates are linked between source and target locations when copied.
What This Means
Each copy retains an internal identifier linking it to the original
If you copy the same template multiple times, you still end up with one copy — it updates, not duplicates
Updates in one location followed by a re-copy propagate changes to all linked copies
What This Does NOT Mean
Copies are not automatically kept in sync — you must manually copy updates to propagate changes
Updating a copy in one tenant does not automatically update the source or other tenants
Updates require explicit copy operations each time
Understanding Form Template Compatibility
Form templates copied between locations maintain their structure and include:
Question types and configurations
Conditional logic and triggers
Associated documents and file attachments
Form sections and layout
Known Limitation: Employee roles and part associations are not copied with the template. These must be configured separately in the target location after copying.
Common Use Cases
Standardizing Daily Inspections
Create a "Daily Inspection" form template in one tenant, then copy it to all other facilities to ensure consistent data collection and reporting.
Deploying New Compliance Requirements
Build a new "Safety Checklist" form for a new compliance requirement, then copy to all relevant tenants to ensure uniform adoption across the organization.
Improving Existing Forms
Update a "Maintenance Request" form based on user feedback, then copy the updated version to all tenants to standardize the improvement across facilities.
Best Practices
Maintain a Source Tenant: Designate one primary location for each form template to coordinate updates and avoid version conflicts.
Test Before Deploying: Verify your form template works correctly in the source location before copying to other tenants.
Document Template Purpose: Keep notes on which templates are deployed to which tenants for easy management.
Update Consistently: When you modify a standard form, copy the updated version to all tenants that use it.
Version Your Updates: Document when updates were made and communicate changes to users who submit forms.
Troubleshooting
Issue: Updated Template Changes Not Appearing in a Tenant
Solution: Updates do not automatically propagate — you must copy the updated template again.
Navigate to Templates → Forms and select the updated template
Click Copy Items in the action bar
Select the target location and click Copy Items to push your changes
Issue: Copy Items Button Not Available or Disabled
Solution:
Verify you have selected at least one template using its checkbox — the button only appears after a selection
Confirm you have appropriate permissions in both the source and target locations
Contact your administrator if access is needed
Issue: Form Template Missing Employee Roles or Part Associations
Solution:
Employee roles and part associations are not currently copied with the template — this is a known limitation
Configure these separately in the target location after copying
Contact your Client Success Manager if this limitation significantly impacts your workflow
Summary
