Overview
The Documents tab in Client Management makes it easy to store, find, and manage files at the group or tenant level. Use it to keep shared documents organized and accessible, all in one central place.
Accessing the Documents Tab
This feature requires a Client Manager role with elevated access.
Steps:
Log in with a Client Manager, System Admin, or Brand Admin account — Client Manager opens automatically
In the left pane, locate your group in either card view or table view. In table view, use the ellipsis button (⋮) to switch to card mode.
Click a Group card, then optionally choose a Tenant card within that group
Click on the Documents tab within that tenant or group
The Documents tab displays all files for the selected group or tenant
Interface Elements

Download Button | Download the selected file(s) to your computer |

Uploading Documents
Add new files to your group or tenant for authorized users to access.
Steps:
Navigate to the Documents tab for your Group or Tenant
Click +Add Document button in the top-right area
There are two ways to upload files:
Click Upload Files to select file(s) from your computer
Drag and drop file(s) directly into the upload area
The file(s) you uploaded will be displayed in the Upload Document’s side panel
Click Done button to successfully upload the document and to close the Upload Document side panel
Document will then appear in the Documents list
Supported documents are jpgs, pngs, pdfs, mp4s, movs, csvs, docs, xlss, ppts no larger than 200mb
NOTE: Maximum file size is 200 MB per file. Files larger than 20 MB will display a size warning before uploading.
Searching for a Document
Quickly locate a specific file by name.
Steps
Open the Documents tab for your group or tenant
Click in the Search box at the top of the document list
Type the filename or a partial filename
Results filter automatically as you type
Click on a document to view or interact with it. Viewing an uploaded document is only applicable to these file types: jpeg, png, mp4s, movs, and pdf
Downloading Documents
Download a Single Document
In the Documents tab, locate the file you want to download
There are two ways you can download a file
The file downloads to your computer's default download folder
Bulk Download Multiple Documents
Check the checkboxes next to all files you want to download
Click the Download button in the bulk action bar
All selected files download as a batch to your computer
Deleting Documents
Delete a Single Document
In the Documents tab, locate the file you want to delete
There are two ways you can delete a file:
The file is permanently removed and no longer accessible to users in this group or tenant
Bulk Delete Multiple Documents
Check the checkboxes next to all files you want to delete
Click the Delete button in the bulk action bar
Confirm the bulk deletion when prompted
All selected files are permanently removed
Document Organization
Documents are stored at either the Group or Tenant level. Understanding this distinction helps ensure files are accessible to the right users. When you upload documents to a group, they remain at the group level. A future copy feature will make it easier to distribute them to specific tenants.
Best Practices
Organize by Purpose: Use clear, descriptive filenames so users can identify document purpose at a glance.
Store Reference Materials: Upload user manuals, owner's manuals, and operational guides for asset types used in your facility.
Regular Cleanup: Periodically review and delete outdated documents to keep your library current.
Version Control: Include the date or version number in filenames when updating documents (e.g., Safety-Manual-2024-v2.pdf).
Troubleshooting
Issue: Uploaded Document Doesn't Appear in the List
Solution: Refresh the page to reload the document list. Verify the upload completed successfully and confirm you're viewing the correct group or tenant.
