Overview

View and organize reports across multiple tenants in one place, and easily reuse them with data tied to the correct tenant.

Accessing the Copy Reports Feature

Role requirement: You must have appropriate permissions in the Client Manager to access and copy reports. Contact your Redlist administrator if access is needed.

Use the Client Manager to navigate to a group or tenant's reports and initiate a copy from there.

  1. Log in as a Client Manager or Brand Admin account โ€” Client Management view opens automatically

  2. If the list is in table mode, click the ellipsis (โ‹ฎ) menu and select View in Card Mode

  3. Select a Group or Tenant that contains the reports you want to copy

  4. Click on Reports in the details area

  5. Click Manage

  6. Select one or more reports using their checkboxes

  7. Click the Copy Reports button that appears in the action bar

Copying Reports

How to Copy a Report to Another Tenant

Share a report with another tenant within the same group structure.

  1. Navigate to Reports in the source Tenant or Group

  2. Click Manage to view available reports

  3. Select the report using its checkbox

  4. Click the Copy Reports button in the action bar

  5. In the copy panel, select the Target Tenant from the hierarchical location tree

  6. Review the Data Source option:

    1. If defaulted to "Swap Data Source," the report will show the target tenant's data

    2. If locked to "Maintain Data Source," the report will continue showing the original data source

  7. Click Copy Items to complete the operation

  8. The report is now available in the target tenant

How to Copy a Report to a Group

Centralize a report at the group level for broader access.

  1. Navigate to Reports in the source Tenant

  2. Click Manage to view available reports

  3. Select the report using its checkbox

  4. Click the Copy Reports button in the action bar

  5. In the copy panel, select the Target Group from the location tree

  6. The system will default to "Maintain Data Source" for group-level copies

  7. Click Copy Items to complete the copy

  8. The report is now available at the group level

Note: Reports copied to a group are not automatically distributed to tenants within that group. Users with group access can view these reports, but tenants must request individual copies if needed.

How to Copy Multiple Reports

The copy flow is the same whether copying one report or many โ€” simply select multiple reports before clicking Copy Reports.

  1. Navigate to Reports and click Manage

  2. Select all reports you want to copy using their checkboxes

  3. Click Copy Reports in the action bar

  4. In the copy panel, select your Target Location from the location tree

  5. Review data source recommendations and select the appropriate option

  6. Click Copy Items to copy all selected reports at once

Note: When copying mixed report types, only the Maintain Data Source option is available.

How Reports Are Updated When Copied Again

If you modify a report in the source location and then copy it again to a target that already has the report:

  1. Update the source report with your changes

  2. Go to Reports in your original location and click Manage

  3. Select the updated report using its checkbox

  4. Click Copy Reports in the action bar

  5. Select the same target location where you previously copied it

  6. Click Copy Items

  7. The existing report in the target location is updated with your new changes

  8. No duplicate report is created; the linked copy is simply updated

Note: Reports are linked between source and target by an internal identifier, so updating the source and re-copying automatically updates the existing copy rather than creating a duplicate.

Understanding Data Source Options

When copying a report, you control where the report pulls its data.

Option

Description

Swap Data Source

The report shows data from the target tenant or location. All references to the original tenant's data are replaced with the target tenant's data. Best used when copying a report from one tenant to another and you want each tenant to see only their own data.

Maintain Data Source

The report continues pulling data from the original source. Useful for cross-tenant comparisons or reports with complex multi-source data. Note: Maintain Data Source is always available. Swap Data Source may not be available for multi-tenant reports or when copying to a group.

Best Practices

Test Before Copying: Verify the report displays correctly in the source location before copying to ensure quality.

Understand Your Data: Know whether you need to "Swap" or "Maintain" data source before copying to get the desired results.

Plan Your Report Library: Copy reports strategically to create a standard set at the group level that can be deployed to new tenants.

Update Consistently: When you modify a popular report, copy the updated version to all relevant tenants to keep reporting consistent.

Troubleshooting

Issue: Data Source Option Locked and Cannot Be Changed

Solution: The data source is locked to Maintain only. This occurs when the report is a multi-tenant report or when copying to a group. Swap Data Source is not available in these cases.
