AI Audio: Create Assets and Components (Android) - User Guide

Overview

An AI voice assistant can create assets, their components, and tasks on those components through a spoken conversation. This is available on Android.

Accessing AI Implementation

  1. Tap the Tools tab in the bottom navigation bar

  2. Tap Assets

  3. Tap the ⋮ (more options) icon

  4. Tap AI Implementation

NOTE: AI Implementation only appears if this AI feature is enabled for the account — if it isn't, the screen shows "This AI feature is not enabled for your organization."

How to Create an Asset by Voice

Steps:

  1. Tap Start to begin the conversation

  2. Describe the asset out loud, including its Unit ID and description

  3. The assistant confirms once the asset is created, and it appears in the on-screen list under Assets

How to Add Components and Tasks by Voice

Steps:

  1. With an asset created (or already in progress), describe the component to add, including its type

  2. If the component type doesn't already exist, the assistant offers to create it

  3. Describe a task for the component, including the task type, maintenance method, how often it repeats, and how long it takes

  4. If the task type doesn't already exist, the assistant offers to create it

  5. Repeat for additional components and tasks

NOTE: If a spoken name could match more than one existing record, the assistant reads back the options to choose from.

How to Correct a Mistake

Steps:

  1. Tell the assistant what needs to change — for example, "that Unit ID is wrong, it should be..."

  2. The assistant updates the existing asset, component, or task rather than creating a new one

Understanding AI Implementation

  • Saves as you go: Each asset, component, or task is created as soon as its required details are spoken and confirmed — there's no separate review-and-save step at the end.

  • Requires a live connection: The conversation uses a live internet connection and the device's microphone, or a connected Bluetooth headset.

  • Session limits: A session ends automatically after 10 minutes of inactivity.

Use Cases / Examples

Use Case 1: Setting up a new asset in the field

A technician standing in front of a newly installed machine describes its Unit ID and description out loud, then adds its components and their maintenance tasks without touching the screen to type.

Use Case 2: Correcting a misheard detail

After the assistant creates a component with the wrong type, the technician says the correction out loud, and the assistant updates the existing component instead of creating a duplicate.

Best Practices

  1. Speak Clearly and Specifically: Include exact Unit IDs, descriptions, and component/task type names to avoid ambiguity.

  2. Confirm as You Go: Check the on-screen list after each item to confirm it matches what was said.

  3. Use a Connected Headset in Loud Environments: A Bluetooth headset mic improves recognition accuracy on a noisy floor.

Troubleshooting

Issue: The AI Implementation option doesn't appear in the Assets menu.

Solution:

  1. This feature must be enabled for the account — check with an administrator.

Issue: The screen shows "This AI feature is not enabled for your organization."

Solution:

  1. Contact an administrator to confirm the integration is enabled.

Issue: The assistant creates a duplicate instead of updating an existing item.

Solution:

  1. Refer to the item by its exact name or Unit ID when making a correction so the assistant can match it to the existing record.

Summary

Assets, components, and tasks can be created entirely by voice from the AI Implementation screen under Assets. Describe what to create, and the assistant saves each item as it's confirmed — corrections update existing records instead of creating duplicates.
