Overview
The Forms screen has a Favorites section at the top that lists the forms you mark as favorites, in the order you choose. Technicians keep the forms they fill out most often in this section. Favorites are personal to each user, work offline, and are available on iPhone, iPad, and Android.
Accessing Favorite Forms
Tap the Tools tab in the bottom navigation bar.
Tap Forms.
The Favorites section appears at the top of the Forms screen, above your folders and forms.
NOTE: If Forms is pinned to the bottom navigation bar from Tools, then Menu Settings, tap the Forms tab instead.
The Favorites section also appears at the top of the form list that opens when you add a form from another screen, such as a work order task or an asset.
How to Add or Remove a Favorite from the Form List
You can mark a form as a favorite directly from any form row, including rows inside folders and rows in the Favorites section.
iPhone and iPad:
Open the Forms screen.
Swipe left on a form and tap Favorite. To remove a favorite, swipe left and tap Unfavorite.
Or, press and hold a form, then tap Add to Favorites or Remove from Favorites.
Android:
Open the Forms screen.
Press and hold a form.
Tap Add to Favorites, or tap Remove from Favorites if the form is already a favorite.
NOTE: When you have no favorites, the Favorites section shows a hint. On iPhone and iPad it reads "Swipe or long-press a form to add it to Favorites." On Android it reads "Long-press a form to add it to Favorites, or tap Edit."
How to Edit Your Favorites from a List
Edit opens a searchable list of all forms so you can choose several favorites at once.
iPhone and iPad:
In the Favorites section header, tap Edit. The Edit Favorites screen opens.
Search for a form or scroll the list.
Tap a form to add it to your favorites. A yellow star marks each favorite.
Tap a starred form to remove it from your favorites.
Tap back to return to the Forms screen. Each change saves as soon as you tap it.
Android:
In the Favorites section header, tap Edit. A selection list of forms opens with your current favorites marked with a star.
Search for a form or scroll the list.
Tap forms to select or clear them.
Confirm your selection to save the changes. Closing the list without confirming leaves your favorites unchanged.
How to Reorder Your Favorites
Reorder appears in the Favorites header when you have two or more favorites and the search bar is empty.
Steps:
Clear the search bar, if you have typed a search.
In the Favorites section header, tap Reorder. The rest of the form list is hidden so only your favorites can move.
Press and drag a favorite by its drag handle to a new position.
Repeat for other favorites as needed.
Tap Done to return to the full form list.
The new order saves on your device and syncs with your account.
NOTE: On Android, the hint "Drag favorites into the order you want, then tap Done." appears above the list while reordering. On Android, Reorder is also unavailable in form lists that are filtered for a specific task or asset.
How to Search Your Favorites
The search bar at the top of the Forms screen filters the Favorites section along with your folders and forms.
Steps:
Type part of a form name in the search bar.
Favorites that match stay in the Favorites section. If no favorites match, the Favorites section is hidden until the search is cleared.
Clear the search bar to show all of your favorites again.
Use Cases
A technician completes the same inspection at many locations. A technician who fills out the same equipment inspection at different sites adds it to Favorites and opens it from the top of the Forms screen at each stop, without scanning a code or opening folders.
A lube technician works through a daily set of forms. The technician keeps three lube forms in Favorites, reordered to match the order they are completed each shift.
A technician adds a form to a work order task. When the technician adds a form to a task, the form list opens with Favorites at the top, so the usual inspection form is one tap away.
A technician works in an area without signal. The technician reorders favorites while offline, and the order syncs once the device reconnects.
Best Practices
Keep the List Short: A few favorites fit at the top of the screen without scrolling past them to reach other forms.
Put the Most-Used Form First: Use Reorder to move the form you open most often to the top.
Clear the Search Before Reordering: Reorder only appears when the search bar is empty.
Sync After Changing Favorites: Syncing after adding, removing, or reordering favorites makes your updated list available on your other devices.
Remove Forms You Have Stopped Using: Keeping only current forms in Favorites makes the right form easier to find.
Troubleshooting
Issue: The Favorites section doesn't appear.
Solution:
Go back to the main Forms list. Favorites don't appear inside folders.
Clear the search bar. When a search is active and no favorites match, the Favorites section is hidden.
Issue: The Reorder button is missing.
Solution:
Add at least two favorites. Reorder needs two or more.
Clear the search bar. Reorder is not available while searching.
On Android, open Forms from the Tools tab. Reorder is not available in form lists filtered for a specific task or asset.
Issue: A form you added to Favorites is missing.
Solution:
Sync your device. The form may have been removed, or your access to it may have changed.
Contact your account administrator if you need access to the form again.
Issue: Favorites look different on another device.
Solution:
Sync both devices. Changes made offline appear on other devices after they sync.
Check that you are signed in with the same user account. Favorites are saved per user.
Issue: "Could not save your favorites. Please try again." appears (Android).
Solution:
Some or all of the changes did not save. The Favorites section refreshes to show what was saved.
Repeat the change. If the message continues, sync your device and try again.
Summary
The Favorites section at the top of the Forms screen lists the forms you choose, in the order you set. Add or remove favorites from a form row (swipe or long-press on iPhone and iPad, long-press on Android) or from Edit, and use Reorder to arrange them. Favorites are saved per user, work offline, and sync with your account so they appear on your other devices.
