Work Orders — Employee Assignment (Web) - User Guide

Overview

Employees can now be assigned directly to a work order — not just to individual tasks within it. Assigning employees to a work order gives your team clear ownership and visibility into who is responsible for getting the work done. Assignments can be made during work order creation or at any time afterward from the General tab or the Assign button. For teams using Restricted Work Order Access, work order-level assignment also controls queue visibility.

Accessing Work Orders

From the navigation, click Routes. Work orders appear in the queue on the left. Click any work order to open it.

How to Assign Employees During Creation

Employees can be assigned when the work order is first created.

  1. From the navigation, click Routes.

  2. Click the + button next to the Board dropdown.

  3. In the creation panel, click the Assignees dropdown.

  4. Search for and select one or more employees.

  5. Click Create to save the work order with the assignments applied.

How to Assign Employees from the General Tab

Employees can be added or removed from an open work order at any time via the General tab.

  1. Open a work order from the queue.

  2. Click the General tab if it is not already active.

  3. Click the Assignees dropdown and select one or more employees.

  4. A Save / Cancel bar appears at the bottom of the panel.

  5. Click Save to apply the changes.

To remove an employee, click the × next to their name in the Assignees field, then save.

How to Assign Employees Using the Assign Button

The Assign button (👤+) in the top-right corner of the work order opens a modal that lets you assign employees and optionally propagate the assignment to all tasks on the work order.

  1. Open a work order from the queue.

  2. Click the 👤+ (Assign) button in the top-right corner of the work order panel.

  3. In the Assign Employee(s) to Work Order modal, select one or more employees.

  4. Click Assign.

  5. A prompt may appear asking whether to also assign the selected employees to the work order's tasks. Choose your preference.

Use Cases

Assigning at creation: A supervisor creates a reactive work order for a pump failure. They fill in the details and select the on-call technician in the Assignees field before clicking Create — the work order appears immediately in the technician's queue.

Reassigning before Work Order is finished: A technician calls in sick mid-week. A supervisor opens each of their work orders, updates the Assignees field to the replacement technician, and saves — the replacement now sees the work in their queue.

Bulk-assigning to tasks: A major overhaul requires two technicians on all tasks. The supervisor opens the work order, uses the Assign button, selects both technicians, and chooses to also assign them to tasks — both employees are added to the work order and all its tasks in one step.

Restricted access team: A team uses Restricted Work Order Access so technicians only see their assigned work. The planner assigns employees directly to each work order at creation to ensure every technician has a populated queue when their shift starts.

Best Practices

  1. Assign at Creation: Setting assignees when the work order is created ensures the right person sees it from the start — especially important for teams using Restricted Work Order Access.

  2. Use the Assign Button for Task-Level Propagation: When you need the same employee(s) on both the work order and all its tasks, use the Assign button rather than the General tab to do it in one step.

  3. Remove Assignments When Reassigning: When replacing one employee with another, remove the outgoing employee from the Assignees field and save before adding the new one, to keep the assignment list accurate.

Troubleshooting

Issue: An employee is not appearing in the Assignees dropdown.

Solution:

  1. Confirm the employee has an active record in Settings → User Roles/Permissions → Employees.

  2. Search by first or last name — the dropdown filters as you type.

  3. Contact your administrator if the employee is active but still not appearing.

Summary

Employees can be assigned to work orders directly via the Assignees field on the General tab — during creation or at any time afterward. The Assign button provides an additional option to push assignments down to all tasks at once. Assigning employees to work orders ensures accurate queue visibility, especially for teams using Restricted Work Order Access.
