Assets — View Modes & Exporting (Web)

How to switch between Card, Hierarchy, and Table view on the Assets page, expand asset cards, and export your asset inventory using Export All or Export Filtered.

Overview

On the Redlist web app, the Assets page offers three view modes — Card, Hierarchy, and Table — so teams can browse, navigate, and review assets in the format that best fits their workflow. Your selected view mode is saved automatically and persists between sessions. The Assets page also includes a 3D Mode for viewing assets in a 3D facility scan — see the 3D Mode article for details.

From the same Assets page, you can also export your inventory to a spreadsheet. Choose to download your full asset list or just your filtered results — either way, custom fields are included.

  1. From the navigation, click Asset Management, then click Assets

How to Switch View Modes

Card and Hierarchy mode are toggled with an icon button in the sidebar; Table mode is accessed through the options menu.

  1. To switch between Card and Hierarchy mode, click the hierarchy icon in the upper right of the sidebar — the icon highlights when Hierarchy mode is active

  2. To switch to Table mode, click the ellipsis menu (⋮) in the upper right and select View in Table Mode

  3. To return from Table mode, click the ellipsis menu (⋮) and select View in Card Mode

Note: Your view mode selection is saved and will be active the next time you return to Assets.

Understanding the Three View Modes

Card Mode

Card mode displays assets as compact cards showing up to two lines each for the unit ID and description. Each card may also show:

  • A QR icon if the asset is linked to a QR code

  • An audit check icon if the asset has been audited

  • A chevron (›) on the right side to expand the card and view the asset's sections, components, and component tasks inline — without opening the full asset profile

Card mode is best for visually browsing individual assets and quickly accessing their component structure without navigating away.

Hierarchy Mode

Hierarchy mode displays your assets organized by group and subgroup structure. The sidebar shows a tree of asset groups and subgroups. Clicking a group expands it and shows its contents in the main panel. Group and asset cards are compact, displaying up to two lines for the unit ID and description.

This mode is best when your workflow is organized around asset groups — for example, navigating by site, facility, or department.

Table Mode

Table mode opens a full-screen table view of all assets with sortable and filterable columns. This mode is best for bulk review, data audits, and finding specific assets by field values.

Note: Table mode opens in a separate view. Use the back navigation to return to Card or Hierarchy mode.

How to Expand an Asset Card

The chevron on the right side of each asset card lets you view an asset's sections, components, and component tasks without opening the full asset profile. You can also add components or edit the asset directly from the expanded card.

  1. In Card Mode, locate the asset card you want to expand

  2. Click the chevron (›) on the right side of the card

  3. The card expands to show the asset's sections

  4. Click a section to expand it and reveal its components and component tasks

  5. Click any section to navigate directly to that section in the asset profile

  6. Click any component to navigate directly to that component in the asset profile

  7. To add a component or edit the asset, use the action buttons that appear in the expanded card

Note: Clicking a task in the expanded card navigates to its parent component in the asset profile — tasks are not independently navigable within the profile.

Exporting Assets

From the Redlist web app, export your asset inventory to a spreadsheet directly from the Assets page. Choose to download your full asset list or just your filtered results — either way, custom fields are included.

Accessing the Export Options

  1. From the navigation, click Asset Management, then click Assets

  2. Click the ellipsis menu (⋮) in the upper right of the Assets sidebar

  3. Select the export option you want

How to Export All Assets

Export All downloads the complete asset inventory regardless of any filters currently applied in the sidebar.

  1. Click the ellipsis menu (⋮) in the sidebar

  2. Click Export All

  3. The export file will download to your device, including all assets and their custom fields

How to Export Filtered Assets

Export Filtered downloads only the assets that match your currently active sidebar filters and search — apply your filters before exporting.

  1. Apply the filters you want in the left sidebar (for example, filter by Status, Type, or Region)

  2. Click the ellipsis menu (⋮) in the sidebar

  3. Click Export Filtered

  4. The export file will download, containing only the assets that match your current filters and search

Note: Export Filtered reflects the filters and search that are active at the time you click export. If no filters are applied, the result will be identical to Export All.

Understanding What Is Included in the Export

Both export types include:

  • All standard asset fields (unit ID, description, make, model, serial number, type, class, status, region, location, etc.)

  • Custom fields configured for your organization

Use Cases

Maintenance technician looking for a specific asset
A technician needs to find a pump by unit ID. They stay in Card mode and use the search bar and filters to narrow the results, then click the matching card to open the asset profile.

Reliability engineer auditing group assignments
A reliability engineer wants to verify which assets belong to each asset group. They switch to Hierarchy mode, navigate the group tree, and review which assets appear under each group.

Maintenance manager reviewing all assets in bulk
A manager wants to review asset types, classes, and descriptions across the entire inventory. They switch to Table mode, sort by asset class, and export the results.

Maintenance manager preparing an asset inventory report
A maintenance manager needs a full list of all assets for a quarterly review. They click Export All to download the complete inventory, then open it in a spreadsheet tool to format the report.

Reliability engineer auditing a specific asset class
A reliability engineer needs to review all assets of a specific class before a preventative maintenance audit. They apply the Class filter to narrow the list, then click Export Filtered to download only the relevant records.

Administrator reviewing custom field data
An administrator wants to verify that custom field values are populated correctly across all assets. They use Export All to download the full inventory including custom fields, then review the export for missing or incorrect values.

Best Practices

View Modes

  1. Use Card Mode for day-to-day browsing: Card mode gives a visual overview and is the quickest way to find and open an individual asset.

  2. Switch to Hierarchy for group-based workflows: If your work is organized by site, department, or equipment category, Hierarchy mode makes it easy to see which assets belong where.

  3. Use Table Mode for data review and auditing: Table mode is the best option when you need to compare or sort asset data across many records at once.

  4. Your view mode saves automatically: You do not need to manually save your view mode selection — it persists when you log out and back in.

Exporting

  1. Use Export Filtered for targeted reports: Applying filters before exporting gives you a focused dataset that is easier to work with than the full inventory.

  2. Export All for full inventory backups: Use Export All when you need a complete record of your asset inventory, such as for audits, migrations, or system backups.

  3. Apply filters before exporting: Confirm your filter selections are correct before clicking Export Filtered — what you see in the list is what gets exported.

  4. Pair Table mode with Export Filtered: Switch to Table mode to sort and verify your records on screen, then run Export Filtered to capture exactly what you reviewed.

Troubleshooting

Issue: Export Filtered downloads all assets instead of the filtered set

Solution: Confirm your filters are applied before exporting — if no filters are active, Export Filtered returns all assets.

  1. Confirm your filters are applied — the asset list should already be narrowed before you export

  2. If no filters are active, Export Filtered will return all assets (the same as Export All)

  3. Apply your intended filters, confirm the list is narrowed, then re-run Export Filtered

Issue: Custom fields are missing from the export

Solution: Both export types include custom fields — if they are missing, they may not be configured for your organization.

Summary

The Assets page supports three view modes — Card, Hierarchy, and Table — each suited to a different workflow. Switch between them using the toggle or the ellipsis menu. Your selected mode is saved automatically so your preferred view is ready the next time you log in.

From the same Assets page, use Export All to download your full asset list or Export Filtered to download only the assets matching your active filters. Both options include custom fields. Make sure your filters are set before exporting to get exactly the records you need.
