Reports: Refreshing Report Data (Web) - User Guide

Refresh a report's data from the Refresh button, read the Last refresh date, and understand the 15-minute waiting period between refreshes.

Written by Trevor Shaffer

Overview

The Refresh button on a report updates the data behind that report, so the visuals show the latest information from Redlist. The refresh runs in the background, and the Last refresh date beside the button shows when the data was last updated. After a refresh finishes, the button is unavailable for a short waiting period (15 minutes), and hovering over it shows when the report can be refreshed again.

Accessing the Refresh Button

  1. From the navigation, click Reports, then click Reports.

  2. Click a report to open it.

  3. The Last refresh date: and the Refresh button (circular arrows icon) appear above the report.

Note: Client Managers can also refresh a client's report. In Client Management, select the group or tenant, click Reports, and select the report. The Last refresh date: and Refresh button appear beside the report selector, and the same waiting period applies.

How to Refresh a Report

  1. Open the report.

  2. Click the Refresh button (circular arrows icon).

  3. A Report refresh successfully initiated! message appears. Click OK to dismiss it. The refresh keeps running in the background.

  4. While the refresh runs, Refresh in progress... shows in place of the button.

  5. When the refresh finishes, the message Report refresh complete, please refresh your browser. appears. Refresh your browser window to load the updated visuals.

Note: Most refreshes finish within 1–2 minutes, but some can take much longer. You can leave the page; the refresh continues and the Last refresh date updates when it's done.

Understanding the Waiting Period Between Refreshes

After a report’s data finishes refreshing, it can’t be refreshed again for 15 minutes. During this time the Refresh button is grayed out. Hover over it to see when it will be available again. It turns back on by itself, so you don’t need to reload the page.

  • The waiting period applies to the report’s data, not to you. If someone else refreshed this report, or another report that uses the same data, you have to wait too.

  • Only a successful refresh starts the waiting period. If the last refresh failed, you can try again right away.

Understanding Refresh Messages

If a refresh can’t start, Redlist shows one of these messages:

  • “This report’s data is already being refreshed.” Wait for the current refresh to finish.

  • “This report’s data was refreshed recently…” Try again after the time shown.

  • “The data model this report is built on is undergoing routine maintenance.” Wait 10 minutes and try again. If it keeps happening, contact Redlist Support.

  • “Report cannot be manually refreshed at this time, please try again later.” Wait a few minutes and try again.

  • “Report cannot be refreshed, please contact support.” Contact Redlist Support.

Last refresh date shows No Refresh History if the data has never been refreshed, and Failed if the latest refresh didn’t finish.

Use Cases

  • Checking today's work: A supervisor completes several work orders and refreshes the maintenance report to see the updated completion numbers before a shift meeting.

  • Shared reports: Several team members open the same report in the morning. The first person refreshes it; everyone else sees the updated Last refresh date and the waiting period, and doesn't need to refresh again.

Best Practices

  1. Check the Last refresh date before clicking Refresh. If the data was updated recently, you may not need to refresh.

  2. After a refresh completes, refresh your browser window so the report visuals load the new data.

  3. Coordinate with your team on shared reports. One refresh updates the data for everyone who uses it.

Troubleshooting

Issue: The Refresh button is grayed out.

Solution:

  1. Hover over the button to see when the report can be refreshed again.

  2. Wait until the time shown. The button becomes available on its own.

Issue: The report still shows old data after the refresh finished.

Solution:

  1. Refresh your browser window to reload the report visuals.

  2. Check that the Last refresh date shows the time of your refresh.

Issue: Last refresh date shows Failed.

Solution:

  1. Click Refresh to try again. A failed refresh doesn't start the waiting period.

  2. If it fails again, contact Redlist Support.

Issue: The message "Report cannot be refreshed, please contact support." appears.

Solution:

  1. Contact Redlist Support. The report isn't connected to data that can be refreshed from Redlist.

Summary

The Refresh button on a report updates the data behind it and shows the Last refresh date beside it. After a refresh completes, the report's data can be refreshed again after 15 minutes; hovering over the grayed-out button shows when. The waiting period is shared by everyone who uses the same report data.
