Overview
The Reports page in Redlist allows you to access, organize, and manage your Power BI reports. With the Customizable Report Organization feature, you can create custom categories, organize reports through drag-and-drop, and maintain a structure that works best for your team.
Accessing the Reports Page
Navigation:
1. From the left sidebar, click on Reports
2. Select Reports from the submenu
The Reports page is accessible from both the classic and new Redlist views, providing a unified experience across the platform.
Page Components
Top Bar:
- Search Box: Quickly find reports by name
- Sync Reports Button: Pulls new reports from Power BI
- Create Category Button: Creates a new category for organizing reports
Categories:
Each category displays:
- Category Name: Click the drag handle (β‘) to reorder or nest categories
- Edit Icon (pencil): Rename the category
- Delete Icon (trash): Remove the category
- Reports List: Individual reports within each category
How to Sync New Reports
When new reports are added to Power BI, they won't automatically appear in Redlist until synced.
Steps:
1. Click the "Sync Reports" button in the top right corner
2. The system will pull new reports from Power BI
3. New reports will default to the General category
4. IMPORTANT: New reports are only accessible to administrators until permissions are updated
How to Create a New Category
Organize your reports by creating custom categories.
Steps:
1. Click the "+ Create Category" button in the top right
2. Enter a name for your new category
3. (Optional) Select a Parent Category if you want to nest it
4. Click Save
5. Your new category will appear in the list
Examples of Categories: Production, Reliability, Forms, Admin, Time Tracking
How to Rename a Category
Steps:
1. Locate the category you want to rename
2. Click the edit icon (pencil) next to the category name
3. Enter the new name
4. Click Save
NOTE: Even the General category can be renamed, though it cannot be deleted.
How to Delete a Category
Steps:
1. Locate the category you want to delete
2. Click the delete icon (trash) next to the category name
3. A confirmation dialog will appear with options:
- If the category contains reports:
* Move reports to General category (reports preserved)
* Delete reports (reports marked as deleted in database)
4. Select your preferred option
5. Confirm the deletion
IMPORTANT NOTES:
- The General category cannot be deleted
- Deleted reports remain in Power BI but require administrator assistance to recover
- All changes are tenant-wide and affect all users
How to Organize Reports with Drag-and-Drop
The drag-and-drop functionality allows you to quickly reorganize your reports and categories.
Reordering Reports:
1. Click and hold the drag handle (β‘) next to a report name
2. Drag the report to a new position within the same category OR to a different category
3. Release to drop the report in its new location
Reordering Categories:
1. Click and hold the drag handle (β‘) next to a category name
2. Drag the category up or down to change its order
3. Release to drop the category in its new position
Nesting Categories:
You can create subcategories by nesting one category within another.
1. Click and hold the drag handle (β‘) next to the category you want to nest
2. Drag it onto another category
3. Release to drop it inside that category
4. The nested category will appear indented under the parent category
Understanding Permissions
Tenant-Wide Changes:
- All organization changes (creating, renaming, deleting, reordering) affect ALL users in your tenant
- Changes are persistent and remain across sessions
Report Access:
- Report visibility is based on your user permissions
- When new reports are synced from Power BI, they default to administrator-only access
- Contact your administrator to request access to specific reports
ROI Calculator Location
The ROI Calculator has been relocated:
- Classic View: Now found under Quick Links (previously under Reports)
- New View: Remains in the same location as before
Best Practices
1. Plan Your Structure: Think about how your team searches for reports before creating multiple categories
2. Use Clear Names: Make category names descriptive and intuitive
3. Sync Regularly: Click "Sync Reports" periodically to ensure new reports are available
4. Coordinate Changes: Since changes affect all users, communicate with your team before major reorganizations
5. Be Careful with Deletions: Remember that deleted reports require administrator help to recover
Troubleshooting
Issue: Can't see "Create Category" button
Solution: Verify you have appropriate reporting permissions. Contact your administrator.
Issue: New Power BI report not showing
Solution: Click the "Sync Reports" button to pull in new reports.
Issue: Can't access a specific report
Solution: Check with your administrator about report permissions.
Issue: Accidentally deleted a report
Solution: Contact your administrator or Redlist support for recovery.
Issue: Can't delete the General category
Solution: The General category is protected and cannot be deleted by design.
