Create Components by Voice (iOS) - User Guide

Written by Trevor Shaffer

Overview

Create Components starts a spoken conversation with Redd on an asset's details screen. Maintenance planners and technicians use it to ask about the asset and to build out its structure by voice: sections, components, component tasks, and the products on those tasks, along with templates, copies, photos, notes, and Comms Hub posts. Redd works only on the asset that is open and cannot create assets. Changes are saved as soon as Redd has the details it needs. There's no separate save step.

Accessing Create Components

  1. Tap the Assets tab in the bottom navigation bar. If it isn't pinned there, tap the Tools tab, then tap Assets.

  2. Tap an asset to open its details screen.

  3. Tap the red sparkle icon next to the asset name.

  4. Tap Create Components.

Note: You can also open an asset's details screen by scanning its QR code or NFC tag, then follow steps 3 and 4.

The sparkle icon appears only when the Redd AI integration is active for your account. Create Components appears in its menu only when Maintenance is turned on for mobile in your account and your user is linked to an employee record. If you don't see it, check with your administrator.

How to Start a Voice Session

  1. On the asset's details screen, tap the red sparkle icon, then tap Create Components.

  2. If prompted, allow Redlist to use the microphone.

  3. A voice bar appears showing Starting Redd..., then Listening.

  4. Speak your request. Redd answers in short replies and does not greet you first.

Note: Redd keeps replies very short, such as "Added." or "Created." Ask for more detail or a summary when you want a longer answer.

The voice bar floats over every screen and can be dragged or tucked against the side of the screen. Tap the tab at the edge to bring it back.

How to Ask Questions About the Asset

  1. With a session running, ask about the asset, a component, or a task. For example: "What's the serial number?", "Which components are in the Drive section?", or "What product is on the gearbox grease task?"

  2. Redd answers in one short sentence with just the value you asked for.

Note: Redd can answer questions about the asset's make, model, serial number, status, location, hierarchy, notes, hours, and cost; a component's make, model, quantity, cost, section, and tasks; and a task's method, repeat frequency, duration, board, last completed date, instructions, and products. If a value isn't recorded, Redd tells you so.

How to Add Components

  1. Say the component to add with its component type. For example: "Add a drive motor, type Motor."

  2. To add several at once, say them in one request. For example: "Add 3 water filters" or "Add a water filter, a gearbox and a chain."

  3. To place components in a section, name the section. For example: "Add a motor to the Drive section."

  4. Redd replies "Created." and the components appear on the asset.

Note: "Add 3 water filters" creates three separate components, numbered automatically (for example, Water Filter 1, Water Filter 2, Water Filter 3). Up to 30 components can be added in one request.

If the component type you say doesn't match an existing type, Redd uses the closest match and tells you which one it used, or asks you to choose. Redd creates a component type only after asking "Create a new component type called...?" and hearing yes.

How to Add Component Tasks

  1. Say the task type and which component it goes on. For example: "Add a grease task to the drive motor."

  2. Leave out anything you want kept at its default:

    • The maintenance method and repeat frequency come from the task type's

    • The estimated duration is 5 minutes.

    • The task goes on the default maintenance board.

To change any of these, say it in the same request. For example: "Add a grease task to the drive motor every 2 weeks on the Lube board."

  1. To add the same task to several components, name the group. For example: "Add an inspect task to all the water filters." One request can cover up to 50 components. If it covers more than 10, Redd asks you to confirm first, for example "Add it to 14 components?"

  2. To reuse the settings from the last task you added, say "same details as the last one."

  3. If the task type doesn't exist yet, Redd asks "Create a new task type called...?" Say yes to create it.

  4. Redd replies "Added."

NOTE: Maintenance methods and boards can't be created by voice.

How to Add or Change Products on a Task

  1. Say the product, the amount used at each point, and the task. For example: "Add Mobilith SHC, 2.5 ounces per point, to the gearbox grease task."

  2. To change a product already on a task, say what to change. For example: "Change the grease on the pump task to 3 ounces" or "Swap the grease on the pump task for Mobil 28."

  3. Redd replies "Added." or "Updated."

Note: The unit of measure defaults to the product's own unit, and points per component defaults to 1. Products can't be created by voice. If no product matches, Redd tells you.

How to Add and Organize Sections

  1. To add a section, say "Add a section called" and the name. Redd replies "Section added."

  2. To move components, say for example "Move the motor and the gearbox to the Drive section."

  3. To take components out of a section, say for example "Take the chain out of its section."

How to Copy Components and Tasks

  1. To copy a component with all of its tasks and products, say for example "Duplicate the gearbox" or "Make 2 more of the water filter."

  2. To copy a task, say for example "Copy the grease task to the second motor."

  3. Redd replies "Done."

Note: Up to 10 copies can be made in one request.

How to Apply Templates or Save the Asset as a Template

  1. To apply a template, say its name. For example: "Add the Pump Skid template." You can name several templates in one request, or say "add it twice."

  2. If the template is an asset template, Redd tells you what it will add, for example "Add Pump Skid? 4 components, 9 tasks.", and adds it only after you say yes.

  3. To save the asset as a template, say "Save this asset as a template called" and the name. Redd replies "Saved as a template."

Note: Component templates are added without a confirmation. When saving as a template, images are included unless you ask Redd not to include them, and the asset is linked to the template only if you ask.

How to Add Photos, Notes, and Comms Hub Posts

Photos:

  1. Say "Take a photo" for the asset, or name a component, for example "Add a photo to the gearbox."

  2. Redd says "Opening the camera." Take one or more photos, then finish or close the camera.

  3. Redd replies "Photo added." or "No photo added." if you closed the camera.

Notes:

  1. Say for example "Summarize that" or "Add that to the notes."

  2. Redd writes a short summary of the session and adds it to the asset's notes, then replies "Added to the notes."

Comms Hub posts:

  1. Say for example "Post to the comms hub: the pump is fixed" or "Tell John Smith the pump is fixed."

  2. Redd reads the post back and asks "Post it?"

  3. Say yes to post it. Redd replies "Posted."

Note: Notes are added after any existing notes and never replace them. Notes have a 1,000-character limit.

The camera and scanner open only while Redlist is on screen.

How to Correct a Mistake

  1. Tell Redd what's wrong. For example: "You misheard, that should be a Gearbox," "The unit ID is wrong, it should be P-102," or "That task should repeat every 30 days."

  2. Redd updates the existing asset, component, or task instead of creating another one.

Note: Redd can correct the asset's unit ID and description, a component's description and type, and a task's type, method, and repeat frequency.

How to Switch Assets or Tabs

  1. To work on a different asset, say "Open the scanner" and scan the asset's QR code or NFC tag, or open another asset's details screen yourself. Redd then works on that asset.

  2. To change what's on screen, ask Redd to show a tab, for example "Show the components tab." Redd can switch to General, Components, History, Certifications, Jobs, Comms Hub, and Open Tasks.

How to End a Voice Session

  1. Say something like "Stop listening." Redd says a brief goodbye and the session ends.

  2. Or tap the X on the voice bar.

  3. Or tap the red sparkle icon, then tap Stop Voice Assistant.

Note: To pause listening without ending the session, tap the microphone icon on the voice bar. The voice bar shows Microphone Muted until you tap it again.

Understanding Requirements and Limits

  • Access: Your account needs the Redd AI integration and mobile Maintenance turned on, and your user must be linked to an employee record.

  • One asset at a time: Redd works only on the asset whose details screen is open. Redd can’t create assets, so create the asset in the app first.

  • Microphone: Redlist needs microphone access. Without it, you’ll see “Microphone access is required to use voice mode.”

  • Internet: A session needs a live connection. If the connection drops for more than a few seconds, the session ends.

  • Idle timeout: A session ends after 10 minutes without speaking or tapping the voice bar.

  • One voice session at a time: Create Components and Complete Tasks by Voice can’t run together. Starting one ends the other.

  • Background: The session keeps running if you leave the app, but photos and the scanner need Redlist on screen.

  • Types: If your account requires an icon on component types or task types, create those types in the app, not by voice.

  • Transcript: Tap the status text on the voice bar to see the session’s transcript. It isn’t saved after the session ends.

Use Cases

  • A planner setting up a pump skid opens the asset, taps Create Components, and says "Add the Pump Skid template." After confirming, the planner adds a grease task to all of the bearings in one request, all without typing.

  • A technician charting equipment in the field stands at an asset, adds three water filters and a gearbox, takes a photo of the gearbox nameplate, and says "Summarize that" to add a summary of the session to the asset's notes.

  • A reliability lead checking an asset asks "When was the gearbox grease task last completed?" and "What product is on it?" while walking the line.

  • A technician walking a line of assets says "Open the scanner," scans the next asset's tag, and keeps adding components to it in the same session.

Best Practices

  1. Name Types Clearly: Say the exact component type or task type name so Redd matches an existing type instead of offering to create one.

  2. Watch the Screen After Each Request: Confirm each component or task appears as expected, and correct it right away by voice if needed.

  3. Group Requests: Say "Add 3 water filters" or "Add a grease task to all the bearings" instead of adding items one at a time.

  4. Say "Same Details as the Last One": Reuse a task's method, frequency, duration, and board when adding similar tasks.

  5. End the Session When Finished: Say "Stop listening" or tap the X so the microphone isn't left running.

Troubleshooting

Issue: The red sparkle icon doesn't appear on the asset's details screen.

Solution:

  1. The Redd AI integration must be active for your account. Check with your administrator.

Issue: Create Components doesn't appear in the sparkle menu.

Solution:

  1. Maintenance must be turned on for mobile in your account. Check with your administrator.

  2. Your user must be linked to an employee record. Ask your administrator to link it.

  3. If the menu shows Stop Completing by Voice, a task completion session is running. Tap it to end that session first.

Issue: A Voice Assistant Error message shows "Microphone access is required to use voice mode."

Solution:

  1. Open the iPhone Settings app, find Redlist, and turn on Microphone.

  2. Return to the asset and tap Create Components again.

Issue: A Voice Assistant Error message shows "Stop the voice task completion session first."

Solution:

  1. End the Complete Tasks by Voice session, then tap Create Components again.

Issue: The session won't start or ends unexpectedly.

Solution:

  1. Check that the device has a working internet connection.

  2. Sessions end after 10 minutes with no activity. Tap Create Components to start again.

  3. If the message "Your session changed. Please start again." appears, start a session again from the asset's details screen.

Issue: Redd says a type has to be created in the app.

Solution:

  1. Your account requires an icon on component types or task types, which can't be picked by voice. Create the type in the app, then ask Redd to use it.

Issue: Redd says a product wasn't found.

Solution:

  1. Products can't be created by voice. Check the product name, or add the product in the app first.

Issue: Redd created an item with the wrong name or type.

Solution:

  1. Say what's wrong, for example "You misheard, that should be a Gearbox." Redd updates the existing item instead of creating another one.

Issue: Redd asks you to open an asset first.

Solution:

  1. Open the asset's details screen. Redd works only on the asset that is open and can't create assets.

Summary

Create Components on an asset's details screen starts a voice session with Redd for asking about the asset and adding its sections, components, component tasks, products, templates, copies, photos, notes, and Comms Hub posts. Most requests save right away. A session ends when you say "Stop listening," tap the X on the voice bar, or after 10 minutes with no activity.
