Work Boards — Table View (Web) - User Guide

Switching Work Boards (Beta) and Lubrication Routes > Routes to Table View: columns, column and date range filters, sorting, search, column settings, and printing up to 50 work orders as one PDF.

Written by Trevor Shaffer

Overview

Table View shows the work order queue on Work Boards as a single full-width table, with one row per work order and one column per field. Planners and supervisors use it to scan many work orders at once, sort and filter them by column, adjust which columns appear, edit work orders directly in the table, act on several work orders at once, and print a selection of work orders as one combined PDF.

Card View and Table View are two ways of looking at the same queue. You switch between them from a view dropdown, and the filters you set in one view carry over to the other.

Accessing Table View

Table View is available in two places. Use the path for the navigation layout you see.

Standard layout

  1. From the navigation, click Maintenance, then click Work Boards (Beta).

  2. Click the view dropdown next to the board dropdown (it shows the icon of the current view).

  3. Click Table View.

Lubrication Management layout

  1. From the navigation, click Lubrication Routes, then click Routes.

  2. Click the Routes tab.

  3. Click the view dropdown next to the board dropdown, then click Table View.

To return to cards, open the same dropdown and click Card View.

NOTE: Table View is not available on the Pending Tasks tab, on Team Boards, or in the task list inside a work order.

How to Switch Between Card View and Table View

Your view choice is saved to your user profile, so the view you pick last is the one that opens next time.

Steps:

  1. Open Work Boards (Beta) or the Lubrication Routes Routes tab.

  2. Click the view dropdown.

  3. Click Card View or Table View.

NOTE: The saved view is shared by both locations. Picking Table View under Lubrication Routes also opens Work Boards (Beta) in Table View, and the reverse. Card View is the default for anyone who has never picked a view.

Understanding the Table View Layout

The top bar of Table View contains, from left to right:

  • The team selector and the board dropdown, which work the same way they do in Card View. The board dropdown includes an All option for viewing work orders across boards.

  • The gear icon, which opens the column settings.

  • The view dropdown.

  • The + button, which opens the add work order pane.

Below the top bar is a row of filters, then the table itself, a Search box, and pagination controls (10, 25, 50, or 100 rows per page; 25 by default).

Default Columns

The table shows these columns, in this order, unless you change them:

Work Order #, Name, Board, Priority, Start Date, Due Date, Assignees, Role, Asset, Location, Region, Shift, Tags, Task Source, Est. Duration (min), External ID, Notes, Tasks, Tasks Completed, Completed On, Job

Each work order custom field also has its own column, named after the custom field.

  • Empty cells show a dash (-).

  • The Notes cell shows a one-line preview. Point to the preview to see the full formatted notes.

  • Work Order # appears in link color. Clicking it opens that work order full screen.

How to Open a Work Order from the Table

Steps:

  1. Click the Work Order # cell of the row you want.

  2. The work order opens full screen, with the same tabs as the detail view in Card View.

  3. To return, click Back to list at the top of the page. The table comes back with its filters, sort, and page as you left them.

NOTE: Clicking any other cell does not open the work order. Other cells either start an inline edit or do nothing (see the Inline Editing guide).

How to Filter by Open or Completed Work Orders

The filter row above the table holds the same three filters as Card View. Changing one in Table View changes it in Card View too.

Steps:

  1. Select Show Open (the default) or Show Completed.

  2. To leave overdue work orders out, check Hide overdue. This checkbox only appears when Show Open is selected.

  3. On a board whose frequency is hours or miles/km, check Hide work order with no miles due to leave out work orders with no miles due. This checkbox only appears on those boards.

How to Filter a Column

Most other filtering happens from the column headers.

Steps:

  1. Click the filter icon in a column header.

  2. Select one or more values in the list.

  3. Apply the filter. The table refreshes to show only matching work orders, and the column shows an active filter indicator.

These columns have a filter: Priority, Assignees, Role, Asset, Location, Region, Shift, Tags, Task Source, every custom field column, and the three date columns (see the next section). The Board column has a filter only when the board dropdown is set to All.

Good to know:

  • Priority offers 1, 2, 3, and 4.

  • Assignees, Tags, and Task Source list each value separately, even when a work order holds several.

  • The Board, Assignees, Role, Asset, Location, Region, and Shift filters list values across the whole filtered result, not only the current page. Their options narrow as you apply other filters, so you are not offered a value that would return no rows.

  • Column filters share their values with the matching dropdown filters in Card View.

  • Hiding a column does not clear its filter. The filter stays applied.

How to Filter a Date Column by Range

The Start Date, Due Date, and Completed On columns use a date range filter instead of a value list.

Steps:

  1. Click the filter icon in the Due Date, Start Date, or Completed On column header.

  2. In the date range picker, pick a start day and then an end day. Use the month and year dropdowns or the arrows to change months. You can also type the dates into the field (format mm/dd/yyyy - mm/dd/yyyy).

  3. Apply the filter. The table shows work orders whose date falls between the two days, including both days.

To clear a range, click Clear Date in the picker, or click Reset Filters to clear the column's filter entirely.

NOTE: The Due Date column filter and the Due Within filter in Card View hold the same range. A range set in one view appears in the other. Opening the picker fills both dates with today's date, but nothing is filtered until you apply it.

How to Sort the Table

Steps:

  1. Click the header of Work Order #, Name, Due Date, or Completed On.

  2. Click again to reverse the order.

Other columns cannot be sorted.

By default, Show Open sorts by Due Date with the soonest first, which matches the card order. Show Completed sorts by Completed On with the most recently completed first.

How to Search the Table

Steps:

  1. Type in the Search box above the table.

  2. The table shows work orders that match in any visible column.

NOTE: Search only looks at columns that are currently shown. Hiding a column takes it out of the search. The Board, Start Date, Due Date, and Completed On columns, and date-type custom fields, are never searched; use their filters instead.

If nothing matches, the table shows "No work orders match the current filters."

How to Choose, Hide, and Reorder Columns

Steps:

  1. Click the gear icon in the top bar.

  2. In the Edit Work Order Columns window, show or hide columns and drag them into the order you want. Custom field columns are included.

  3. Save your changes.

Your column choices, column widths, sort, and column filters are saved to your user profile and apply the next time you open Table View. Work Order # and Name cannot be hidden. To go back to the standard columns, use Restore Defaults in the same window.

How to Print Several Work Orders as One PDF

You can print up to 50 selected work orders as a single combined PDF.

Steps:

  1. Check the box at the start of each row you want to print. You can select rows on more than one page.

  2. In the action bar that appears, click Print Work Order(s).

  3. The PDF preview window opens and shows "Loading PDF..." while the document is generated.

  4. When the PDF is ready, the window title changes to work-orders-document.pdf. Review the preview.

  5. Click Download to save the file, or Close to close the window.

How the combined PDF is built:

  • Each work order starts on its own page.

  • Work orders appear in the same order as the table, including its current sort.

  • Each work order's pages match what Print Work Order produces for that work order on its own, including your print customization settings.

  • Completed and closed work orders are included. Print is available on Show Completed as well as Show Open.

NOTE: Print Work Order(s) is disabled when more than 50 work orders are selected. Point to the button to see the tooltip "Select 50 or fewer work orders to print." Closing the PDF window leaves your selection in place.

Understanding Refresh, Views, and Shared Settings

  • Automatic refresh: The table refreshes in the background every 30 seconds. It skips a refresh while a column filter is open, while the column settings, a bulk action window, or the add work order pane is open, while you have unsaved inline edits, and while the browser tab is not visible.

  • Shared filters: Show Open/Show Completed, Hide overdue, Hide work order with no miles due, the column filters, and the Due Date range are the same values Card View uses.

  • Not in Table View: The Quick Filter controls stay in Card View only.

  • Single and All boards: With a specific board selected, the table shows that board's work orders. Set the board dropdown to All to see work orders across boards and to filter by the Board column.

Use Cases

  • Weekly planning review: A planner opens Table View on Monday, filters Due Date to the coming week, and hides columns they never use, so the whole week fits on one screen without opening cards one at a time.

  • Finding gaps in assignments: A supervisor filters Assignees and Role to spot work orders that still need someone, then fixes them directly in the table.

  • Printing route packets: A lubrication planner on the Routes tab selects the week's work orders, sorts them in route order, and prints them as one PDF instead of printing each work order separately.

  • Reviewing completed work: A manager switches to Show Completed, filters Completed On to last month, and sorts by most recently completed to review what the team finished.

Best Practices

  1. Set up your columns once: Hide the columns you do not use and order the rest the way you read them. The layout is saved to your profile.

  2. Use column filters instead of search for dates and boards: Search skips date columns and the Board column, so use the date range filters and the board dropdown for those.

  3. Sort before you print: The combined PDF follows the table's sort order, so sort by Due Date or Work Order # first to get packets in a useful order.

  4. Remember that filters follow you: Filters set in Table View also apply in Card View. If cards look sparse, check the filters you set in the table.

  5. Use All boards for cross-board views: Set the board dropdown to All when you need to compare or filter work orders across several boards.

Troubleshooting

Issue: I don't see the Card View / Table View dropdown.

Solution:

  1. Confirm you are on Work Boards (Beta) or the Lubrication Routes Routes tab. The dropdown is not on the Pending Tasks tab or on Team Boards.

  2. If you don't see Work Boards (Beta) in the navigation, ask your administrator to confirm your role includes access to tasks.

Issue: The table is empty or shows "No work orders match the current filters."

Solution:

  1. Check Show Open/Show Completed and Hide overdue.

  2. Look for column headers with an active filter indicator and clear those filters.

  3. Clear the Search box.

Issue: I can't filter by the Board column.

Solution:

  1. Set the board dropdown to All. The Board column filter only appears when all boards are shown.

Issue: The Assignees filter is grayed out.

Solution:

  1. This happens for users with restricted work order access, who only see work orders where they are assigned to a task. Filtering by assignee is not available for those users.

Issue: Search doesn't find a value I can see in a date column.

Solution:

  1. Search does not look at Start Date, Due Date, Completed On, Board, or date-type custom fields. Use the column's date range filter instead.

Issue: Print Work Order(s) is grayed out.

Solution:

  1. More than 50 work orders are selected. Clear some selections until 50 or fewer remain.

Summary

Table View shows the Work Boards queue as a full-width table on Work Boards (Beta) and on the Lubrication Routes Routes tab. You can sort by Work Order #, Name, Due Date, or Completed On; filter by column, including date ranges on Start Date, Due Date, and Completed On; choose and order columns; and print up to 50 selected work orders as one combined PDF. Your view, columns, sort, and filters are saved to your profile and shared with Card View where they overlap.
