Overview
Each inventory part has a photo gallery on the General tab of its detail page. A part can hold any number of photos and short videos, and one photo is the part's profile picture, the image shown as the part's thumbnail. Inventory and maintenance teams use the gallery to keep different angles, condition shots, and label or nameplate close-ups together on the part record.
Accessing Part Photos
From the navigation, click Resources, then click Inventory.
In the Lube Management navigation, click Inventory Management, then click Inventory.
On the Inventory tab, click a part to open its detail page.
On the General tab, find the photo thumbnail at the left of the Details section.
The thumbnail shows the part's profile picture. If the part has more than one photo or video, a badge on the thumbnail shows how many more there are (for example, +3). If the part has no profile picture, a gray image icon is shown instead.
How to View a Part's Photos
Clicking the thumbnail opens the gallery window, titled with the part name followed by Photos.
Steps:
Click the photo thumbnail (or the gray image icon) in the Details section.
Use the left and right arrows, or click a thumbnail along the bottom, to move between photos and videos.
Click Close to return to the part.
How to Add Photos to a Part
Steps:
Click the photo thumbnail to open the gallery.
Click Upload at the bottom left of the gallery.
In the Upload File window, click Upload File to browse, or drag files onto the drop area. You can select several files at once.
Wait for each file to finish uploading. It then appears in the list below the drop area.
Click Close. The uploaded files are added to the part's gallery when the Upload File window closes.
Supported file types are JPG, PNG, MP4, and MOV, up to 200 MB per file.
NOTE: If the part has no profile picture, the first photo you upload becomes the profile picture automatically.
How to Set the Profile Picture
The profile picture is the photo shown in the part's thumbnail.
Steps:
Open the gallery and move to the photo you want to use.
Turn on the Make profile picture switch above the photo.
The thumbnail on the General tab updates to the selected photo, and the choice is saved on the part.
NOTE: The switch is locked on for the current profile picture. To change the profile picture, turn the switch on for a different photo. Videos cannot be the profile picture, so the switch is disabled when a video is shown.
How to Delete a Photo
Steps:
The photo is removed from the part right away, and a confirmation message appears. There is no confirmation prompt before the photo is removed.
If you delete the profile picture, the next available photo in the gallery becomes the profile picture. If no photos remain, the part has no profile picture and the thumbnail shows the gray image icon.
Understanding Part Photos
Profile picture and gallery: The profile picture is always one of the photos in the gallery. Only photos (not videos) can be the profile picture.
Image from the Add/Edit Part window: The image chosen in the part's Edit window (from the ⋮ menu on the part's detail page) is the profile picture. When that image is set or replaced, the image is added to the gallery. A photo it replaces stays in the gallery.
Parts with an existing photo: A part that had a single photo before it had a gallery shows that photo in the gallery as its profile picture.
Files tab: The part's Files tab lists every file attached to the part, including the gallery's photos and videos. Deleting a file from the Files tab removes it from the gallery as well. If that file was the profile picture, the next photo is not promoted: the thumbnail shows the gray image icon until you set another photo as the profile picture or upload a new photo, which then becomes the profile picture.
Read-only view: When a part's details are opened in a pop-up window (for example, by clicking a part name on a location's Inventory tab), the gallery is view-only. Upload, Delete, and Make profile picture are not available there. Open the part from the Inventory page to manage its photos.
Permissions: Viewing the Inventory page requires permission to view parts. Setting the profile picture saves a change to the part, so it requires permission to edit parts. If you lack that permission, the message "Unable to complete action." appears.
Mobile app: The mobile app shows the part's profile picture. The full gallery is managed on the web.
Use Cases
Documenting a new part: An inventory clerk receiving a new bearing uploads a photo of the box label, a photo of the part itself, and a close-up of the part number stamped on the housing. The clear part photo is set as the profile picture so the part is easy to recognize in the list.
Recording condition: A storeroom supervisor adds photos showing the condition of a rebuilt gearbox before it goes back on the shelf, keeping that visual record with the part.
Helping technicians find the right part: A planner adds a short video showing how two similar-looking seals differ, so technicians can confirm the right one before pulling it from stock.
Cleaning up outdated photos: After a supplier changes packaging, an inventory admin deletes the old packaging photo and sets the new one as the profile picture.
Best Practices
Choose a clear profile picture: Use a well-lit photo of the whole part, since that is the image people see first.
Include identifying details: Add close-ups of part numbers, labels, or nameplates so the part can be matched quickly in the storeroom.
Close the Upload File window when uploads finish: Files are added to the gallery when the window closes, so wait for each upload to complete, then click Close.
Keep videos short: For the best upload performance, keep files under 20 MB and videos under one minute.
Remove outdated photos: Delete photos that no longer match the part so the gallery stays accurate.
Troubleshooting
Issue: I don't see the Upload button, Delete button, or Make profile picture switch.
Solution:
Check whether the part was opened in a pop-up window, such as from a location's Inventory tab. The gallery is view-only there.
Open the part from the Inventory tab of the Inventory page instead.
Issue: The Make profile picture switch can't be turned on.
Solution:
If the item shown is a video, it can't be the profile picture. Move to a photo.
If the switch is already on and can't be turned off, that photo is the current profile picture. Turn on the switch for another photo to change it.
Issue: "Unable to complete action." appears when I set the profile picture.
Solution:
Setting the profile picture requires permission to edit parts. Ask your administrator to review your role's permissions.
Reload the page and try again.
Issue: A file won't upload, or a "was too large to upload" message appears.
Solution:
Confirm the file is a JPG, PNG, MP4, or MOV.
Confirm the file is no larger than 200 MB. Compress or trim larger videos before uploading.
Issue: Photos I uploaded don't appear in the gallery.
Solution:
Make sure each file finished uploading before you closed the Upload File window.
Upload the files again, wait for them to appear in the list, then click Close.
Summary
The photo gallery on a part's General tab holds the part's photos and videos, with one photo set as the profile picture shown in the part's thumbnail. Photos are added with Upload, the profile picture is chosen with Make profile picture, and photos are removed with Delete. When the profile picture is deleted, the next available photo takes its place.
