Microsoft Teams Channel Notifications (Web) - User Guide

Connect a Microsoft Teams channel to Redlist events through Integration Hub's webhook pipeline — no new infrastructure required.

Overview

Integration Hub can send Redlist event notifications to a Microsoft Teams channel. Each notification arrives in the channel as a card, and covers events for work orders, tasks, forms, jobs, purchase orders, users, employees, products, assets, and other records. A channel is connected with a Workflow webhook URL from Teams, under the Microsoft Teams card in Integration Hub.

Accessing Integration Hub

  1. In the standard navigation, click Admin, then click Integration Hub.

    In the Lube Management navigation, click Settings, then click Integrations.

NOTE: You need Company Settings access to open Integration Hub.

How to Connect a Microsoft Teams Channel

Before you start in Redlist, get a webhook URL from Teams:

Steps:

  1. In Teams, open the channel you want notifications sent to, click More options (the "..." menu), then click Workflows.

  2. Pick the template "Post to a channel when a webhook request is received" and finish the setup in Teams.

  3. Copy the URL Teams gives you at the end of setup.

Then, in Redlist:

  1. On the Microsoft Teams card (next to the Webhooks card), click Setup.

  2. Click New Teams Channel.

  3. In the Connect Teams Channel panel, enter a Name for the channel. The name appears in the footer of each card.

  4. Paste the copied URL into the Workflow webhook URL field.

  5. Select the Redlist Entity you want to notify on (for example Work Orders), then set the Action Criteria for it (for example "Completed").

  6. Optionally narrow it further with Filter Criteria and Filter Criteria Option — for example, a single board for work orders, or a single form template for form submissions.

  7. Click Send test to confirm a sample card arrives in the Teams channel before saving.

  8. Click Create.

NOTE: The Custom Headers field available on regular webhooks doesn't apply to Teams channels and won't appear in this panel.

Understanding What Gets Posted

Each notification is a card in the Teams channel. A card shows the record’s title, what happened (for example “Work Order Completed”), a few key details, who triggered it (“Submitted By”) when there is one, the time, and the channel name you entered.

Cards for work orders, tasks, jobs, assets, users, and employees include an Open in Redlist link to the record. Cards for forms, purchase orders, and products don’t.

Teams channels are listed under the Microsoft Teams card, and standard webhooks under the Webhooks card.

Managing Existing Teams Channels

  • To change a channel's URL, entity, or filters, open it and use the Edit Teams Channel panel.

  • To stop sending notifications to a channel, use Delete.

  • A channel also has a Status switch. If deliveries keep failing, Redlist switches the channel off automatically after 30 failures in a row (or immediately if Teams replies that the URL is gone). In the channel list, hover the info icon next to the Status switch to see the reason, then fix the problem and switch it back on.

Use Cases

  • A maintenance team wants Work Order status changes visible without opening Redlist — connect the team's Teams channel to Work Orders with a "Completed" action so every completion posts a card with a link back to the work order.

  • A multi-site tenant wants each site's work order alerts in its own channel — connect one Teams channel per site and filter each channel to that site's board. Board filtering is available for work orders only, and each channel takes one board.

  • A safety team wants form submissions to surface immediately — connect a channel filtered to a specific form template so every submission posts a card the moment it comes in.

Best Practices

  1. Always send a test before saving: Use Send test after pasting the Workflow webhook URL to confirm the card actually reaches the right channel before you commit to the entity and filter settings.

  2. Scope channels with Filter Criteria: Rather than sending every event across the account into one channel, use board or form template filters where they're available to keep each channel relevant to the team that watches it.

  3. Check the channel's Status if cards stop arriving: After repeated delivery failures, Redlist switches the channel off automatically. In the channel list, hover the info icon next to the Status switch for the reason, and switch it back on once the Workflow in Teams is working again.

Troubleshooting

Issue: I don't see the Send test button, or Send test fails.

Solution:

  1. If you don't see Send test, you need create access to Integrations. Send test also requires an https URL.

  2. Re-copy the Workflow webhook URL from Teams and paste it again, especially if the Workflow was recreated.

  3. Check that the Workflow is still enabled on the Teams side — a deleted or turned-off Workflow may cause the test to fail. The test gives up after 15 seconds.

Issue: Send test succeeds, but no cards arrive during normal use.

Solution:

  1. Double-check the Redlist Entity and Action Criteria match the events you expect (for example, confirm you selected "Completed" and not a different action).

  2. Review any Filter Criteria on the channel — an overly narrow filter (like a specific board or form template) will silently exclude events that don't match it.

  3. Check that the channel's Status switch is still on.
