All Route Tasks: Table Filtering (Web) - User Guide

Cascading, account-wide column filters on the All Route Tasks table, shared with All PM Tasks and asset/asset-group task tabs

Overview

Column filters on the All Route Tasks table search across every task in the account, not just the tasks currently loaded on screen, and each filter's option list narrows to match whichever other filters are already active. Anyone working through a large set of route tasks — narrowing down by asset, product, responsible individual, or any other filterable column — works with these filters from the All Route Tasks table.

Accessing All Route Tasks

  1. From the Lubrication Management sidebar, go to Routes.

  2. Click Route Setup/Templates.

  3. Click the All Route Tasks tab.

How to Filter a Column

Steps:

  1. Click the filter icon on a column header to open its filter dropdown.

  2. Use the search box to narrow the list, or scroll to load more options.

  3. Check one or more values, then click Apply.

The column header shows that a filter is active. Repeat on any other column to stack filters together.

NOTE: Click Reset Filters in a column's dropdown to clear just that column, without affecting filters on other columns.

How Cascading Filters Work

Applying a filter on one column automatically narrows the option lists shown in every other column's filter dropdown, so you only ever see combinations that actually exist in the remaining results.

Steps:

  1. Apply a filter on one column (for example, filter Asset Type down to a specific type).

  2. Open a different column's filter dropdown — its available options now reflect only what remains after the first filter, rather than every value in the account.

Because the options come from the account's full task data rather than whatever rows happen to be loaded, this includes values that wouldn't otherwise show up until you'd scrolled or paged further — for example, an asset group with no tasks of its own can still appear as a filter option if it has a descendant that does.

Understanding Filter Scope

  • Same table, several entry points: All Route Tasks, All PM Tasks, an asset's Components tab, and an asset group's All Tasks tab all show the same underlying task table with the same set of filterable columns — filtering works identically no matter which of these you're filtering from.

  • Scoped views stay scoped: When this table is opened from a specific asset or asset group (its Components or All Tasks tab), the filter dropdowns only offer values relevant to that asset or group, rather than the whole account.

  • A single Route's own Tasks list is separate: The Tasks tab inside an individual Route's own profile page is a different table and doesn't have this column filtering — this filtering applies to the All Route Tasks table specifically, not to the task list shown inside one Route.

Use Cases / Examples

Use Case 1: Narrowing down a large task list

A maintenance planner managing thousands of route tasks filters the Asset Type column down to pumps, then filters Region to a single site, quickly landing on the exact subset of tasks they need to review.

Use Case 2: Finding every task tied to a product

A reliability manager filters the Product column to a specific lubricant to see every task across every route that uses it, regardless of which page those tasks would otherwise appear on.

Use Case 3: Reviewing one team's workload

A supervisor filters the Responsible Individual column to a single technician to see all of that person's assigned route tasks in one place.

Best Practices

  1. Filter broad columns first: Narrowing by something like Asset Type or Region before filtering more specific columns keeps the remaining option lists shorter and easier to scan.

  2. Use the search box on long option lists: Typing a few characters is faster than scrolling through a long checkbox list, especially on columns like Asset or Product.

  3. Reset one column at a time when adjusting: Use each column's own Reset Filters button to back out a single filter without losing filters on other columns.

  4. Remember scoped tabs stay scoped: When filtering from an asset or asset group's tab, expect the filter options to reflect only that asset or group, not the whole account.

Troubleshooting

Issue: A value I expect to see isn't listed in a column's filter options.

Solution:

  1. Check whether other filters are already active — cascading filters only show options that exist within the current combination of filters.

  2. Reset the other active filters and check again; if the value still doesn't appear, confirm it actually exists on a task in this view (or, if you're on a scoped tab, that it belongs to that asset or group).

Issue: The filter dropdown seems to be missing recent tasks or assets.

Solution:

  1. Filter options are pulled from the account's full task data, not just what's loaded on screen, so this usually isn't a pagination issue — try searching within the dropdown instead of scrolling.

  2. Refresh the page if a task was just created or recently reassigned, since it may not yet be reflected.

Issue: I don't see column filters on a Route's task list.

Solution:

  1. This filtering applies to the All Route Tasks table, not the Tasks tab inside an individual Route's own profile — those are different tables.

  2. Go to Routes > Route Setup/Templates > All Route Tasks to use column filtering.

Summary

The All Route Tasks table's column filters search the account's full set of tasks rather than only what's currently loaded, and each column's available options narrow automatically to match whatever other filters are already applied. The same filtering is shared with All PM Tasks and with the task list on an asset's or asset group's own tabs, staying scoped to that asset or group when opened from there — but it's separate from the task list shown inside an individual Route's own profile page.
