Quick Route Builder: Building Routes from a Parent Asset (Web) - User Guide

Building a route in the Quick Route Builder from a single asset and its sub-assets, excluding specific sub-assets, and keeping route membership current with Include Future Options.

Written by Trevor Shaffer

Overview

The Quick Route Builder builds a route from either an asset group or a single asset. When the selected asset has sub-assets, the Quick Route Builder treats it like an asset group: the route is built from that asset and all of its sub-assets, at every level of nesting. The asset must belong to an asset group.

Accessing the Quick Route Builder

  1. From the navigation, click Maintenance, then click PM Programs.

  2. Click Work Order Templates, then click a route.

  3. Click the Tasks tab, then click Quick Route Builder.

(The Quick Route Builder is also reachable from a route opened under Resources > Equipment > Assets, after selecting an asset group.)

How to Build a Route from an Asset with Sub-Assets

Steps:

  1. From the Quick Route Builder pane, click the Asset Group or Asset dropdown. Options are split into Asset Groups and Assets, and typing searches both.

  2. Select an asset from the Assets section of the dropdown (assets display as {Unit ID} - {Description}). Sub Groups is disabled when an asset is selected.

  3. In the Assets tree that appears, leave nothing selected to include the asset and all of its sub-assets, or select specific sub-assets to narrow the route.

  4. Review Asset Sections, which lists only sections belonging to the selected asset and its sub-assets.

  5. Apply any additional criteria (Include All Tasks, Exclude Shutdown Tasks, etc.) as needed.

  6. Click Save to build the route.

NOTE: Excluding a specific sub-asset in the tree overrides the inclusion of its parent — that sub-asset's tasks are left out of the route. If the selected asset has no sub-assets, the route is built from that asset alone.

Changing the Asset Group or Asset selection clears Sub Groups, Assets, and Asset Sections, and resets their Include Future Options checkboxes to checked.

Understanding Dynamic Route Membership

If Include Future Options is checked under Assets (the default after selecting an asset group or asset), the route stays current as the asset hierarchy changes:

  • Creating an asset under an included parent adds it to the route.

  • Reparenting an asset into the included subtree adds it to the route.

  • Reparenting an asset out of the included subtree removes it from the route.

With Include Future Options unchecked, only the assets explicitly selected in the tree at save time stay in the route.

Use Cases

  • A planner setting up maintenance for a large machine with many components selects the top-level asset in the Quick Route Builder, and the route covers every sub-asset underneath it.

  • A planner who wants routes to stay current as equipment is added leaves Include Future Options checked, so sub-assets created under the parent later join the existing route.

  • A planner who needs to exclude one specific sub-assembly selects the parent asset, then unchecks just that one sub-asset in the tree, keeping the rest of the hierarchy in the route.

Best Practices

  1. Select an asset when the route should cover one machine: If sub-assets are modeled under a parent asset, select the parent asset rather than the whole asset group.

  2. Keep Include Future Options checked for growing equipment: Leave it checked when more sub-assets will be added later and the route should include them.

  3. Double-check exclusions after selecting a parent asset: Since selecting a parent implies all its sub-assets, review the tree to make sure nothing unwanted is included.

Troubleshooting

Issue: A sub-asset created after the route was saved doesn't appear on the route.

Solution:

  1. Confirm Include Future Options was checked when the route was originally saved.

  2. If it wasn't, reopen the route in Quick Route Builder and select that sub-asset manually.

Issue: An error says "This asset must belong to an asset group to use as a route anchor."

Solution:

  1. Add the asset to an asset group, then select it again in the Asset Group or Asset dropdown.

Issue: The route includes an asset I meant to exclude.

Solution:

  1. Reopen the Quick Route Builder pane for that route, find the sub-asset in the Assets tree, and deselect it — an explicit exclusion always overrides its parent's inclusion.

Summary

The Quick Route Builder builds a route from an asset group or from a single asset. Selecting an asset with sub-assets builds the route from that asset and all of its sub-assets, with optional exclusions in the Assets tree and Include Future Options to keep membership current as the hierarchy changes.
