Work Order Calendar (Web) - User Guide

Overview

The Work Order Calendar gives management teams a visual scheduling view of all work orders across the maintenance program. Planners can see every scheduled work order on a calendar, filter by team, adjust the date range, and drag work orders to reschedule them.

Accessing the Work Order Calendar

From the navigation, click Lubrication Routes, then click Scheduling.

How to Navigate the Calendar

The calendar opens to a day view by default. Use the filter bar at the top to change what you see.

  1. Use the date picker in the filter bar to jump to a specific date.

  2. Click the Day or Week buttons to switch between day view and week view.

  3. Click the Teams dropdown to filter the calendar by one or more teams. Check the teams you want to see and click Apply. Click Clear to reset the filter.

  4. Work orders appear as blocks on the calendar based on their planned dates.

How to View Work Order Details

The scheduling calendar includes a work order list on the left and a collapsible details panel on the right. You must first select a work order, then you can open the panel to see the details.

  1. Click any work order card in the work order list on the left side of the screen to select it.

  2. Click the ⓘ icon on the right edge of the screen to open the details panel.

  3. The panel displays the work order's information across two tabs — General and Tasks.

  4. To close the panel, click the ⓘ icon again.

How to Reschedule a Work Order

Work orders can be rescheduled by dragging them to a new date on the calendar.

  1. Click and hold a work order block on the calendar.

  2. Drag it to the new date or time slot.

  3. Release to drop it in the new position.

  4. A confirmation dialog may appear if the new date shortens the work order's duration. Confirm to apply the change.

NOTE: Dragging a work order updates its planned start and due dates. Make sure the new dates are intentional before dropping.

How to Configure Calendar Settings

The calendar has optional business hours filtering that can be set per user.

  1. Click the gear icon (⚙) in the top-right corner of the filter bar.

  2. In the Calendar Settings modal, toggle Show Business Hours on or off.

  3. If business hours are enabled, set the Start Time and End Time to define the visible work window.

  4. Click Save Changes to apply.

Use Cases

Weekly scheduling review: A planner opens the Work Order Calendar at the start of each week to confirm that all scheduled work orders have assigned employees and realistic due dates. Any gaps or overloaded days are easy to spot in the week view.

Reactive rescheduling: A technician calls in sick and a supervisor needs to shift their work orders to the next day. The supervisor drags each of the technician's work orders to the correct day directly on the calendar without editing each work order individually.

Business hours alignment: A maintenance coordinator sets business hours from 7am to 4pm so the calendar only shows the active working window.

Team-level filtering: A manager wants to see only the work orders assigned to the Mechanical team. Using the Teams filter, they narrow the calendar to one team's workload.

Best Practices

  1. Use Week View for Planning, Day View for Scheduling: Week view gives a high-level look at coverage. Switch to Day view when assigning or sequencing work within a single day.

  2. Filter by Team Before Rescheduling: Narrowing to one team before dragging work orders prevents accidentally moving another team's work.

  3. Review Calendar Settings Once: Configure your business hours once — the setting is saved to your user account and applies every time you return to the calendar.

Troubleshooting

Issue: Work orders are not showing on the calendar.

Solution:

  1. Check that work orders have a Due Date set — the calendar requires a due date to place a work order.

  2. Confirm the calendar's date range includes the work orders' due dates.

  3. Check the Teams filter — if a team is selected, only work orders for that team will appear. Click Clear to remove the filter.
