Overview

Ask Redd lets technicians and operators ask questions about a specific piece of equipment and get instant answers — right from the asset details page. It pulls from the asset's data, files, maintenance history, and components, so users can get the information they need without digging through records manually.

Accessing the AI Chat

The AI Chat button is only visible when your organization has the AI integration enabled. If you do not see the button, contact your administrator to confirm the integration is turned on.

  1. Tap the Assets tab in the bottom navigation bar

  2. Select the asset you want to ask about

  3. On the asset details screen, tap the AI button in the top right corner

Using the AI Chat

How to Ask About an Asset

Use the AI Chat to quickly retrieve asset details without navigating through multiple tabs.

  1. Tap the AI button in the top right corner of the asset details screen

  2. The chat opens with the prompt: "Hi I’m Redd! I can help you with asset information and lubrication management.”

  3. Tap one of the suggested questions or type your own question in the text field

  4. The AI will respond with relevant information about the asset

Note: The AI responds based on the data available for that specific asset. Results may vary depending on how much information has been recorded.

How to Use Suggested Questions

Suggested questions provide a quick starting point for common asset inquiries.

  1. Open the AI Chat for the asset

  2. Review the pre-written suggested questions displayed on screen

  3. Tap a suggested question (e.g., "Status Summary") to submit it automatically

  4. The AI will generate a response based on the asset's current data

Understanding What the AI Can Access

The AI Chat pulls from the following data sources when answering questions about an asset:

Included Data Sources

  • Asset details — Name, type, status, and other recorded asset information

  • Associated files — Any documents or files linked to the asset

  • Maintenance history — Completed work orders associated with the asset

  • Components — Components currently recorded on the asset

Important: The AI can make edits to asset fields when asked. However, the asset details screen will not automatically update to reflect those changes — navigate away from the asset and back to see the updated information.

Understanding AI Integration Availability

The AI button is only shown when the AI integration has been enabled for your organization. This setting is managed at the account level by your administrator.

  • If the AI button is not visible, the integration is not currently active for your account

  • To enable the integration, contact your Redlist administrator or reach out to Redlist support

Best Practices

Ask Specific Questions: The more specific your question, the more accurate and useful the AI's response. Instead of "Tell me about this asset," try "What work orders have been completed on this asset in the last month?"

Use Suggested Questions First: The pre-built suggested questions are a great way to quickly surface the most commonly needed asset information without having to type anything.

Refresh After Edits: If you ask the AI to update or edit an asset field, navigate away from the asset and back to reload the asset details screen and verify the change.

Check Associated Files: If you need detailed documentation about an asset (such as a user manual or spec sheet), upload the file to the asset first so the AI can reference it in its responses.

Troubleshooting

Issue: AI Button Not Visible on the Asset Details Page

Solution:

  1. Confirm the AI integration has been enabled for your organization

  2. Contact your administrator to verify the integration is turned on

  3. If the integration is confirmed active and the button is still missing, contact Redlist support

Issue: AI Response Is Slow or Not Loading

Solution:

  1. Wait a moment — response times can vary depending on query complexity and system load

  2. If the response does not load after a reasonable wait, close and reopen the AI chat and try again

  3. If the issue persists, contact Redlist support

Issue: Asset Details Did Not Update After Asking the AI to Make an Edit

Solution:

  1. The AI can edit asset fields, but the screen does not automatically update

  2. Navigate away from the asset and back to reload the asset details screen

  3. If the change is still not reflected, open the asset editor and check the field directly
