Creating Recurring Work Orders (Rolling Stock)
Navigate to PM Manager (Setup)
- Click "Maintenance"
- Click "PM Programs"
- Click "Setup"
1) Template libraries are where you build work orders and associate assets to them.
2) Asset Programs are where you build assets on site on the fly and link those assets to a PM Template
1. Generate Template
Preventative Maintenance (PM) Templates detail all tasks that are to be performed on specific assets. If similar assets differ from one another in the tasks that are to be performed on them, another PM Template must be created.
PM Template Name
It is recommended to name a template based on the specific assets you are working on and not include frequencies such as monthly or 1000 hr, as these frequencies will be handled for all assets on the Work Order Template Level
Option to add the make and model of the asset
Select asset to generate form
Optionally select an asset to generate the template. Do this for new templates or to copy templates.
Include selected asset as an associated asset
Select this option if you want to include the asset in the template to be generated
Once a template has been created these three areas display 1) Details, 2) Work Order Templates, and 3) Associated Assets.
The detail section is where you build all tasks necessary to perform on an asset to keep it reliable and/or compliant. These tasks are organized on a three tier hierarchy. This hierarchy includes Sections, Components and Tasks. Tasks can only be built on a component.
Add a Task to a Component
- Click "Add component" in the details section
- Fill out the required information to create/select that component
- Select "Add Task" (On the component)
A task type is what the task is to be performed. (Ex. Change Oil, Top Off, Inspect etc.)
Maintenance Method Used
The Maintenance Method Used is how will it be performed (Ex. By Hand, Grease Gun, Spray, etc.)
This will assign the task to a specific Team Board
This is where you many record the estimated time in minutes it took to complete the task. Alternatively you can have the field user leverage timers on tasks.
Criticality is a tag where you are then able to filter it on Team Boards
Special Instructions assist in displaying additional information for techs to see.
Frequency days may be managed on the task level, however if placed in a Work Order, that frequency will supersede this field
Frequency hours may be managed on the task level, however if placed in a Work Order, that frequency will supersede this field
Frequency Miles/km may be managed on the task level, however if placed in a Work Order, that frequency will supersede this field
An assignee will be notified when the task comes due
Assigning a lead will simply allow them to access this Work Order on a mobile device
Adding an inspection will assign a blank form to a task for the field user to fill out before completion
Upload Files & Photos
Optionally add a any additional files or photos
The part is any products or part used to perform the task. (Ex. Mobil Delvac, Oil Filter, Etc)
Points Per Application
In the event there are multiple locations to perform the same task on the component (Ex. 2 grease points on a gearbox). You would specify here how many points to perform that application.
The volume per point specifies how many of the “Unit of Measurement” is applied on each “point per application”.
Unit of Measure
Create or add a unit of measurement. (Ex. Ounce, Each, Feet, Units, Pumps, etc.)
This sequence number will control the order at which this task will be viewed. These can also be manually changed after the tasks are generated

This setting is helpful for Reports
Work Order Templates
Once all the details are built on the template, assign these tasks to a Work Order Template. Doing so will place assigned tasks on the board they are associated with.
Add Work Order Template
Select the add work order template to create a Work Order Template on these PM Templates. These Work Order Templates will be what populate on Team Boards. Set the frequency and save changes. These settings will determine the recurrence of the Work Order in Team Boards.
Once the work order is created drag and drop the tasks to the desired work order.
Once Work Orders and the Details of the template are built. Assign multiple assets to them. This will generate work orders for each asset to be done.
2. Asset Programs
The Asset Program view allows you to create assets on the fly and assign templates to them.
To do so:
- Click "Create New Asset"
- Fill out the desired and required information
- Once created select the asset on the left
- This displays the asset information, routes and details
- Click Add From Library
- Assign the asset to a PM template by selecting the desired PM Template
- This will assign the asset to already existing recurring routes (recurring work orders)
