Basics of QR Code Management
Filters
Apply filters to quickly identify the Asset, Component, or Parts needed to generate a QR code. These filter fields are applied either to the Asset Profile or Parts Profile. Review Asset Management and Inventory Management to learn more about the available filters in the tool.
+ Unlinked QR Codes
Generate an unlinked QR Code to later link them to an Asset. Once scanned you will be able to select from the asset table which asset to link the scanned QR Code to.
Column Settings
Column settings allow you to configure which columns display on either the Asset, Component, or Parts Tables when reviewing the QR Code Generator Tables.
Generate New and Print Selected
Once an Asset, Component, or Part is checked you may Generate New QR Code or Print Selected QR Code. Generating a New QR Code will override any existing codes associated with the asset, component, or part. Printing Selected will print an additional existing QR Code.
QR Code Scanner
Any QR Code scanner can scan a Redlist QR Code. If the Mobile App is installed on the device it will default to display the Asset Profile or Public Portal in the Mobile Apps. If the mobile app is not installed it will display the asset profile or Public Portal in the Web App.
Public Portal: A public portal is a client-facing tool to display specific form submissions and documents to anyone who has access to the QR Code. The QR Code must be marked as Public and is accessed after printing a QR Code. This is commonly used to display OSHA documents to whom they apply. Components and Parts are not available in the Public Portal.
Asset Profile: The Asset Profile is where all Asset information is available. Navigate to Resources > Equipment > Select an Asset to view the Asset's Profile.
Scannable fields on Forms: Navigate to Forms > Manage > Select a Template > Edit > Text > Input Type > VIN and Scannable Tag to apply scannable questions on a form. These questions will populate the data scanned whether it is a VIN or text string from any Barcode or QR Code. Additionally, you may populate asset data from a Dropdown question Forms > Manage > Select a Template > Edit > Dropdown > Asset > Scan Asset. This will require a scan from a physical QR Code on the built form to populate the Asset question.
Assets
Assets may be utilized throughout the entire platform. You may attach them to Job Assignments within Operations, Maintenance and HSE Tasks, and Forms. Review Asset Management to learn more. Once configured properly these assets will maintain their history and store it on the Asset Profile. Specific history and documentation are available to Clients if QR Codes are marked as Public. Review QR Code Scanner for more details. If QR Codes are not marked as public; scanning the code will display the Asset Profile.
- Unit ID: The unit ID is the identifier along with the description that gets displayed throughout the platform.
- Public: When an Asset is marked as Printed a toggle appears within this column. This toggle indicates if a scan of the QR code will navigate the user to the Public Portal or Asset Profile. Review QR Code Scanner for more information.
- Asset Type: This field distinguishes Assets by their common characteristics. Such as Forklift, Crane, Truck, Semi, Debarker, Feeder, Blast Furnance, Bar Mill, Etc. Note that the Asset type will also determine the custom fields applied to an Asset. To create custom fields and view the asset type table navigate to Settings > Equipment > Asset Types. - Asset Group: This field represents the direct parent an Asset is assigned to within Asset Groups.
- Asset Class: This field distinguishes Asset Types by their most important unique characteristics. Such as capacity (100 Ton, 18 Wheeler). To view the Asset Class table navigate to Settings > Equipment > Asset Classes
- Serial Number: The serial number represents its position within the series of its creation of identical assets.
- VIN: The Vehicle Identification Number is a unique identifier. It represents the Asset's unique features, specifications, and manufacturer.
- Description: This description is an identifier that gets displayed throughout the platform along with the Unit ID. PDF submissions on forms where the Unit ID is selected will also display this description.
- Cost: This is the purchase cost of the Asset.
- Region: This field assigns an Asset to a specific company region where applicable. Regions are typically other branches within a company.
- Make: This is the Brand of the Asset. You may filter by this information.
- Model: This is the specific type of Asset from the Brand. You may filter by this information.
- License: Record the license number within this field. This is a permit that allows the company to operate the Asset.
- Miles/KM: This field records the Miles or Kilometers of an Asset. This field may be updated by a form or a Task completion on a Board.
- Hours: This field records the Hours of an Asset. This field may be updated by a form or a Task completion on a Board.
- Operational Days per Year: Typical working days in a year are 261. This tends to change by country, region, and company. Record the typical Operational Days Per Year to track downtime on a Report.
- Operational Hours Per Day: Operational hours per day vary by company. Record the Operational Hours Per Day on this asset to track downtime on a Report.
- Client: Assign a Client to an Asset. This commonly limits this asset to display only when the assigned Client is first selected on a form. Additionally, this will limit the asset to display when dispatching a Job Assignment for the selected Client.
- Registration Month: Record the registration month within this field. Optionally utilize this field within a report to quickly identify when registration comes due.
- Year Manufactured: Record the Year the asset was manufactured within this field.
- Responsible Individual: Optionally record the responsible individual to this asset.
- Supervisor: Optionally record the supervisor to this asset.
- Fuel Consumption (Gal/hr.): This is the cost in gallons of fuel by the hour.
- Dependent Production Value ($/hr.): This is how much the asset costs to operate by the hour.
- Asset Location: This field represents the physical location of an Asset either by GPS, Address, or a plant's grid system. This field may be auto-updated by a form if configured on a Form Template. To view the Asset location table navigate to Settings > Equipment > Locations
- Last Printed on Date: This field displays the last time the QR Code associated with the Asset was marked as Printed.
Components
Components represent the lower-order hierarchy on Assets. Apply a QR code to components to quickly review the maintenance history and forms submission associated history. Review Asset Management to learn more.
- Description: The description of a component distinguishes it from other components of the same "Application Type" or Component type. For example Upper, left-most, blue, etc.
- Age (Hrs.): This field represents the length of time in hours the component has operated. This is only updated manually or via 3rd party sensors.
- Asset: Assign a Component to an Asset with this field. An asset must first be added to the system.
- Asset Group: This field represents the direct parent an Asset is assigned to within Asset Groups.
- Asset Section: Assign a Component to an Asset with this field. Optionally create one here.
- Application Type aka Component Type: A component type must be added to a Component. This field distinguishes components by their common characteristics. Examples include Gearbox, Engine, Gasket. This is not to be confused with the component which is the specific individual component such as the upper engine or left-most gearbox.
- Cost (USD): This is the purchase cost of the Component.
- Electrical Energy Consumption (kWh): This is the amount of energy consumed by the component in kilowatt-hour. This is typically only tracked with 3rd party sensors
- Fuel Energy Consumption (Gal/hr.): This is the amount of fuel consumed by the component in gallons per hour.
- Life Expectancy (Hrs.): This field represents in hours the length of time the component is expected to operate.
- Make: This is the Brand of the Component. You may not filter this information.
- Model: This is the specific type of Component from the Brand. You may not filter this information.
- Number: This number identifies this component within the series based on the quantity field above.
- Application Quantity: This field represents the number of components assigned to an asset or asset section if assigned to a section.
- Rebuilt Cost (USD): This is the rebuild cost of the Component
- Last Printed on Date: This field displays the last time the QR Code associated with the Component was marked as Printed.
Parts aka Product
Part QR Codes are viewable on Parts Profile once generated. Navigate to Resources > Inventory > Select a Part to review. Review Inventory Management to learn more. Parts are also known as Products throughout the platform.
- Name: This description is an identifier that gets displayed throughout the platform along with the part number.
- Number: This number is the identifier along with the name that gets displayed throughout the platform.
- Product Type: This field distinguishes Parts by their common characteristics. Such as Grease, Oil, Oil Filter, Tires, Etc. You may also apply Cost Codes to product types.
- Product Family: A product family is a sub-product type. This is commonly utilized to distinguish between oil or grease categories.
- Package Style: The package style represents how the product is packaged when received.
- Unit of Measure: The unit of measure represents how the product is measured throughout the system from receiving quantity through a Purchase Order to how the product is used on a Work Order and Job Assignment.
- Price: This is the product or part price reported by the Vendor.
- Quantity: This is the available quantity of parts or product
- Min Quantity: This is the minimum threshold of quantity. Commonly this number is utilized to report on when products fall below this threshold.
- Max Quantity: This is the maximum threshold of quantity. Commonly this number is utilized to report on when products rise above this threshold.
- Quantity Ordered: This is the quantity represented on Purchase Orders that have yet to be received.
- Symbol: Visually represent a part or product with the available symbols.
- Color Code: Apply a color to the part to visually represent the product or part.
- Vendor: Include vendors who provide the part or product.
- Row: This field represents the row within a warehouse where this product is stored.
- Shelf: This field represents the shelf within a warehouse where this product is stored
- Bin: This field represents the Bin within a warehouse where this product is stored.
- Purchasing Contact: The purchasing contact is a phone number of an individual to contact from a specific vendor.
- Active: When a part is marked inactive it will be unavailable throughout the platform.
- Last Printed On Date: This field displays the last time the QR Code associated with the Part was marked as Printed.
