Overview
The Submit Form page has a Favorites section at the top that lists the forms you mark as favorites, in the order you choose. Technicians and other form users keep the forms they fill out most often in this section. Favorites are personal: each user picks and orders their own, and other users' lists are not affected.
Accessing Favorite Forms
The Favorites section is on the Submit Form page.
Standard layout:
From the navigation, click Forms, then click Submit.
You can also open the same page from the navigation by clicking Quick Links, then clicking Submit Form.
Lube Management layout:
From the navigation, click Forms, then click Submit.
The page opens on the Form Selection tab, with the Favorites section above your folders and forms.
NOTE: The Submit Form page requires permission to submit forms. If you don't see Submit under Forms, contact your account administrator.
How to Add or Remove Favorite Forms
Favorites are chosen from the edit panel in the Favorites section. Each change saves as soon as you click it.
Steps:
Open the Submit Form page.
In the Favorites section, click Edit Favorites. An edit panel opens with a search box and a list of every form available to you, in alphabetical order.
Type in the search box to narrow the list, if needed.
Click a form to add it to your favorites. A filled yellow star marks a favorite form.
Click a favorite form again to remove it. The star changes back to an outline.
Click Done to close the edit panel.
Forms you add appear at the bottom of your Favorites list. Reorder them as described in the next section.
NOTE: When you have no favorites, the Favorites section shows the message "Use Edit Favorites to choose the forms you use most." The message is hidden while the edit panel is open.
How to Reorder Favorite Forms
You control the order of your favorites. The order is saved to your account and stays the same after you reload the page or sign in again.
Steps:
Open the Submit Form page.
Make sure the page search box is empty. Reordering is not available while searching.
In the Favorites section, click and hold the drag handle (three lines) to the left of a form.
Drag the form up or down to its new position, then release it.
The new order saves automatically. Favorites can only be reordered within the Favorites section; they can't be dragged into folders or the main form list.
NOTE: While the page search is active, the drag handles are grayed out. Hovering over a handle shows "Reordering is not available while searching. To reorder favorites, please clear the search."
How to Open a Favorite Form
Favorite forms work the same way as forms in the main list.
Steps:
Open the Submit Form page.
In the Favorites section, click the form name or click Open.
If you have saved drafts of the form, click Drafts to choose a draft to continue.
How to Search Your Favorites
The search box at the top of the Submit Form page filters the Favorites section along with your folders and forms.
Steps:
Type part of a form name in the search box at the top of the page.
Favorites that match stay in the Favorites section. If no favorites match, the Favorites section is hidden until the search is cleared.
Clear the search box to show all of your favorites again.
Use Cases
A technician fills out the same daily inspection. A technician who completes a pre-shift equipment inspection every morning adds it to Favorites and opens it from the top of the Submit Form page without opening its folder.
A lubrication technician works across several sites. The technician completes the same two lube route forms at different locations, so both are favorites, ordered by which one is used first each day.
A supervisor rotates between form sets. A supervisor who reviews safety forms one week and quality forms the next uses Edit Favorites to swap the list, without asking an administrator to reorganize company folders.
A user sets up favorites at a desk before heading to the field. A user chooses and orders favorites on the Submit Form page, then finds the same favorites in the same order in the Forms tool on a mobile device.
Best Practices
Keep the List Short: A short Favorites list of the forms used most keeps them visible at the top of the page without scrolling.
Put the Most-Used Form First: Drag the form you open most often to the top so it is the first one in the list.
Clear the Search Before Reordering: Reordering is off while the page search is active, so clear the search box before dragging favorites.
Review Favorites When Your Work Changes: Remove forms you have stopped using so the list stays relevant to your current tasks.
Leave Folder Organization to Form Manager: Favorites are personal shortcuts. Use the Form Manager page to change where forms are stored for everyone.
Troubleshooting
Issue: The Favorites section is missing from the Submit Form page.
Solution:
Clear the page search box. When a search is active and no favorites match, the Favorites section is hidden.
If the error "Could not load your favorites." appeared, reload the page. The section stays hidden until favorites load successfully.
Check that you are on the Submit Form page. The Form Manager page does not show Favorites.
Issue: A favorite form is missing from the Favorites section.
Solution:
The form may have been deleted, or your access to it may have changed. Favorites only show forms available to you.
Contact your account administrator if you need access to the form again. When access is restored, the form returns to your Favorites.
Issue: You can't drag favorites to reorder them.
Solution:
Clear the search box at the top of the page. Reordering is not available while searching.
Drag from the handle (three lines) to the left of the form name.
Check that you have at least two favorites.
Issue: "Could not update your favorites. Please try again." appears.
Solution:
The change did not save. Your favorites reload to show what is currently saved.
Check your internet connection, then repeat the change.
Issue: Favorites look different on another user's screen.
Solution:
Favorites are personal. Each user chooses and orders their own favorites, so lists differ between users.
Summary
The Favorites section on the Submit Form page lists the forms you choose, in the order you set, above your folders and forms. Use Edit Favorites to add or remove forms, drag the handles to reorder them, and open favorites the same way as any other form. Favorites are saved to your user account, only show forms available to you, and appear in the same order in the Redlist mobile app.
