Client Management: Favorite Clients and Client Manager Access (Web) - User Guide

Starring favorite clients on the Client Management Clients page, and managing which client managers can access a client from the Client Manager Access panel.

Written by Trevor Shaffer

Overview

The Clients page in Client Management lists every client account you manage, in either a table view or a card view. Client managers can star clients as favorites so the accounts they work with most stay pinned at the top of both views. Brand administrators can open the Client Manager Access panel for any client to see which client managers on their brand can access that client and to grant or remove that access in one save.

Accessing the Clients Page

Client Management has no navigation menu item. It opens in one of two ways:

  • At login: Users with a client manager or brand administrator role land on the Client Management Clients page after logging in.

  • From inside a client account: Click the profile icon in the top-right corner of the page, then click Switch Accounts. This logs you out of the current client account and returns you to the Clients page.

To switch between the two views, click the ⋮ (more options) button next to the search box, then click View in Card Mode or View in Table Mode. Redlist remembers the last view you used.

How to Add a Client to Your Favorites

Starring a client pins it to the top of your client list.

Steps:

  1. Go to the Clients page.

  2. Find the client in either view:

    • Table view: The star appears to the left of the name in the Client Name column.

    • Card view: The star appears to the right of the client's name on its card in the left panel, and next to the client's name at the top of the page when the client is selected.

  3. Click the outlined star. The star turns solid yellow and the client moves to the top of the list.

NOTE: Hovering over the star shows Add to favorites or Remove from favorites, depending on its current state.

How to Remove a Client from Your Favorites

Steps:

  1. Go to the Clients page.

  2. Find the client. Favorite clients appear at the top of the list with a solid yellow star.

  3. Click the yellow star. The star returns to an outline and the client returns to its usual position in the list.

How to Manage Which Client Managers Can Access a Client

The Client Manager Access panel shows every active client manager on your brand, with a switch showing whether each one can access the selected client.

Steps:

  1. Go to the Clients page and switch to the card view (click ⋮, then View in Card Mode).

  2. In the left panel, click the client's card to select it. Open a group first if the client is inside one.

  3. At the top of the page, click Client Managers. The Client Manager Access panel opens on the right.

  4. Turn the switch on for each client manager who should have access to this client, and off for each one who should not.

    • To narrow the list, type a name or email address in Search client managers....

    • To turn every client manager in the current list on at once, check Select all shown. If every client manager in the list is already on, unchecking it turns them all off.

  5. Click Save. A confirmation message appears and the panel closes.

NOTE: Turning a client manager off and saving removes their access to this client only. Their access to other clients does not change.

The Save button stays disabled until you change at least one switch. Click Cancel to close the panel without saving.

Understanding Roles and Access

  • Who can favorite clients: Users with the client manager role. Each user's favorites are personal; starring a client does not change anyone else's list.

  • Favorites follow you: Favorites are saved to your user account, so they appear on any browser or device you log in from.

  • Which clients can be favorited: Only clients that appear on your Clients page.

  • Who can manage client manager access: Brand administrators. The Client Managers button appears at the top of the page when a client is selected in the card view; it does not appear in the table view.

  • Which client managers appear in the panel: Only active client managers on your own brand. Client managers on other brands and inactive client managers are not listed, and saving never changes their access.

  • Access count: The line next to Select all shown reads "X of Y client managers have access" and counts every client manager in the panel, including any hidden by your search.

Use Cases

  • A client manager with a large book of accounts. A client manager oversees dozens of client accounts but works in five of them daily. They star those five, and each time they log in or click Switch Accounts, the five clients sit at the top of the table, ready to open.

  • Favorites spread across groups. A client manager's key accounts are organized into several regional groups in the card view. Because favorites appear above the groups at the All Clients level, the client manager reaches each one without opening its group first.

  • Onboarding a client manager. A brand administrator hires a client manager to support an existing client. The administrator selects that client in the card view, clicks Client Managers, searches for that client manager by name, turns their switch on, and clicks Save.

  • Reassigning coverage. A client manager moves off an account. The brand administrator opens Client Managers for that client, turns the departing client manager off, turns the replacement on, and saves both changes in one step. The departing client manager keeps access to their other clients.

Best Practices

  1. Keep Favorites Focused: Star only the clients you work with regularly, so the pinned section stays short and useful.

  2. Review Favorites Periodically: Remove stars from clients you have stopped supporting to keep your list current.

  3. Search Before Toggling: In the Client Manager Access panel, search by name or email address to find the right person, especially when client managers share similar names.

  4. Check the Access Count Before Saving: Confirm the "X of Y client managers have access" count matches what you expect before clicking Save.

  5. Use Select All Shown Carefully: Select all shown applies to every client manager in the current list. Filter the list with search first if you only want to change a few people.

Troubleshooting

Issue: I don't see a star next to client names.

Solution:

  1. Favorites are available to users with the client manager role. If your account has only a brand administrator role, stars do not appear.

  2. Contact your brand administrator if you need the client manager role.

Issue: The message "Could not update favorites. Try again or contact support." appears and the star changes back.

Solution:

  1. The favorite was not saved. Click the star again.

  2. If the message continues to appear, refresh the page and try again, or contact Redlist Support.

Issue: I don't see the Client Managers button.

Solution:

  1. Confirm you are in the card view. The button does not appear in the table view.

  2. Confirm a client, not a group, is selected in the left panel.

  3. The button is available to brand administrators only. Check with your administrator if you need this role.

Issue: A client manager I expect is missing from the Client Manager Access panel.

Solution:

  1. Clear the Search client managers... box to show the full list.

  2. Only active client managers on your brand are listed. Confirm on the Client Managers tab that the user is active and has the client manager role.

Issue: The message "Could not update client manager access for [client]. Try again or contact support." appears.

Solution:

  1. Your changes were not saved. Click Save again.

  2. If the problem continues, close the panel, reopen it from Client Managers, and repeat your changes.

Issue: The message "Could not load client managers. Try again or contact support." appears.

Solution:

  1. Close the panel and click Client Managers again.

  2. If the message continues, refresh the page or contact Redlist Support.

Summary

Client managers star clients on the Client Management Clients page to keep their most-used accounts pinned at the top of the table and card views, with favorites saved to their user account. Brand administrators use the Client Managers button in the card view to control which of their brand's active client managers can access each client, granting and removing access for that client in a single save.
