Comms Hub: Turn a Post into Work (Mobile) - User Guide

Create a work order or task, link to one that exists, or send a form — all from a post's Actions menu on your phone or tablet.

Written by Trevor Shaffer

Overview

Each post in Comms Hub has an actions menu (⋮). From it, you can create a work order or task from the post, link the post to an existing work order, or send a form. Tags in the text of a post are tappable and open the item they point to, and tapping a form template tag starts a form submission.

Accessing Comms Hub

Tap the Comms Hub tab in the bottom navigation bar. If it isn't pinned there, tap the Tools tab, then tap Communication Hub.

On Android you can pin Comms Hub to the bottom bar from Tools, then Menu Settings.

How to Use the Actions Menu

Every post has an actions icon (the vertical ⋮ in the top-right corner of the post).

Steps:

  1. Tap the ⋮ icon on the post.

  2. Choose an option: Follow Post / Unfollow Post, Edit (your own posts only), Create Work Order, Create Task, Link to Work Order, Send Form, or Delete (your own posts only).

NOTE: Options you don't have permission to use appear greyed out. Edit and Delete only show on your own posts. On Android, the Link to Work Order option reads "Link To Work Order."

How to Create a Work Order from a Post

Steps:

  1. From the post's ⋮ menu, tap Create Work Order.

  2. The work order form opens with the first 100 characters of the post's text as the name. The post's tagged asset and attachments carry over automatically.

  3. On Android, choose a Board. Fill in anything else needed.

  4. Tap Add (iPhone and iPad) or Save (Android) in the top-right corner.

Once created, a system reply is added to the post saying the work order was created from it.

How to Create a Task from a Post

Steps:

  1. From the post's ⋮ menu, tap Create Task.

  2. The task form opens with the post's text as the description, and the post's tagged asset carries over.

  3. Choose a Board and a Work Order. If the post is already tagged to a work order, both are filled in for you.

  4. Tap Save (iPhone and iPad) or Add (Android).

As with a work order, a system reply is added to the post saying the task was created from it.

How to Link a Post to an Existing Work Order

Steps:

  1. From the post's ⋮ menu, tap Link to Work Order.

  2. This opens the post's reply thread with the work order picker ready — select the work order you want to link.

  3. Review the drafted reply ("This post was linked to work order …") and tap Post.

The reply carries the work order tag, and the work order then shows in the post's tag chips.

How to Send a Form from a Post

Steps:

  1. From the post's ⋮ menu, tap Send Form.

  2. Choose the form template, and choose the people to send it to under Send To.

  3. Tap Next. This opens the post's reply thread with a drafted reply asking them to fill out the form.

  4. Review the drafted reply and tap Post.

Anyone who can see that reply can tap the form template tag on it to start a new submission — tapping it always starts a fresh submission. Once it's submitted, a system reply is added to the post saying the form was submitted and by whom.

When the new submission opens, the form's asset is filled in from the conversation. Redlist uses the asset tagged on the reply that holds the form template tag, or, if that reply has no asset tag, the asset tagged on the original post. The pre-filled asset can be changed before you save or submit, just like when you fill out a form from a task.

NOTE: If more than one asset is tagged, the asset that was tagged first is used. If no asset is tagged on the reply or the post, or the form has no asset field, the form opens without an asset selected.

How to Open a Tagged Item from a Post

Tags on a post — assets, work orders, jobs, people, tasks, form submissions, and form templates — are tappable, both in the row of chips under the post header and inside the message text.

Steps:

  1. Tap the tag.

  2. Redlist opens the tagged item: an asset, work order, job, or task opens directly, a person opens their profile, and a form submission tag opens that submission.

NOTE: Tapping a form template tag always starts a brand-new submission — it never reopens an existing one.

Use Cases

  • A technician reports a hazard in a post from the field and a supervisor creates a work order directly from it, with the asset already attached.

  • A duplicate report comes in for something already being worked on — instead of creating a second work order, the team links the new post to the existing one.

  • A safety coordinator sends a form from a post to collect details, and a reply appears on the post when it's submitted.

  • A user taps a work order tag in a post to jump straight to it instead of searching for it separately.

Best Practices

  1. Use Link to Work Order for duplicate reports: it keeps everything in one place instead of creating a second work order for the same issue.

  2. Tap tags instead of navigating manually: a tagged asset, work order, job, or person is one tap away from the post that references it.

  3. Remember a form template tag always starts new: if you're re-opening a submission you already started, look for it in the form's normal submission history instead of tapping the tag again.

Troubleshooting

Issue: Tapping a tag says the item isn't available on your device.

Solution:

  1. The tagged item hasn't synced to your device yet. Sync the app and try again.

Issue: Tapping a tag says you're already in that item.

Solution:

  1. This just means you're already viewing the item the tag points to — no further action is needed.

Issue: An option in the ⋮ menu is greyed out, or Edit and Delete are missing.

Solution:

  1. Greyed-out options need a permission your role doesn't have for work orders, tasks, or forms. Contact your account administrator if you think you should have it.

  2. Edit and Delete only appear on posts you wrote.

Issue: A form started from a post opened with the wrong asset, or with no asset selected.

Solution:

  1. The asset comes from the asset tagged on the reply with the form template tag, or from the original post. If several assets are tagged, the first one tagged is used. Tap the asset field on the form and choose the correct asset before submitting.

  2. If no asset was filled in, check that the post or reply has an asset tag and that the form has an asset field.

Summary

The actions menu on a Comms Hub post creates a work order or task, links the post to an existing work order, or sends a form. Creating a work order or task adds a system reply to the post. Availability of each item depends on your permissions. Tapping a tag in the post text opens the asset, work order, job, person, task, or form behind it, and a form started from a form template tag opens with the conversation's tagged asset filled in.
