Comms Hub: Turn a Post into Work (Web) - User Guide

Create a work order or task, link to one that exists, or send a form — all from a post's Actions menu in the Communication Hub.

Overview

A post in the Communication Hub can now turn directly into trackable work — create a work order or task, link the post to a work order that already exists, or send a form — all from a new Actions menu on the post itself. Supervisors no longer have to re-enter a reported issue by hand somewhere else; the report and the resulting work stay connected. A separate improvement in this release also lets you clear your entire notification backlog in one click.

Accessing the Communication Hub

  1. From the navigation, click Quick Links, then click Communication Hub.

How to Use the Actions Menu

Every post (including system-generated posts like asset and work order alerts) has an Actions button in its footer, to the left of the Reply button.

Steps:

  1. Click Actions on the post.

  2. Choose an item from the dropdown: Follow Post / Unfollow Post, Edit (your own posts only), Create Work Order, Create Task, Link to Work Order, Send Form, or Delete (your own posts only, shown in red).

  3. Selecting an enabled item closes the menu and starts that item's flow.

NOTE: If you don't have permission for an action (Create Work Order, Create Task, Link to Work Order, or Send Form), that item still appears in the menu but is disabled rather than hidden.

How to Create a Work Order from a Post

Steps:

  1. From the post's Actions menu, click Create Work Order.

  2. The Create Work Order panel opens, pre-filled with the first 100 characters of the post's text as the work order name. If the post is tagged to an asset, that asset is pre-selected, and any images attached to the post carry over to the work order.

  3. Adjust any fields as needed, then click Create.

Once created, the post is tagged to the new work order (a chip appears in the post header) and a system reply is added noting the work order was created from this post.

How to Create a Task from a Post

Steps:

  1. From the post's Actions menu, click Create Task.

  2. The Create Task panel opens, pre-filled with the post's text as the task description. If the post is already tagged to a work order or asset, those are pre-selected.

  3. Adjust any fields as needed, then click Create.

As with a work order, the post is tagged to the new task and a system reply is added.

How to Link a Post to an Existing Work Order

Use this when a post reports something that's already being tracked, instead of creating a duplicate work order.

Steps:

  1. From the post's Actions menu, click Link to Work Order.

  2. In the Link to Work Order panel, optionally choose one or more people under Send to.

  3. Select the work order under Work Order (required).

  4. Click Done.

A reply is drafted mentioning anyone you selected and the linked work order, and the post is tagged to that work order. A post can be linked to more than one work order. If the post is already linked to the work order you selected, Redlist tells you rather than creating a duplicate link.

How to Send a Form from a Post

Steps:

  1. From the post's Actions menu, click Send Form.

  2. In the Send Form panel, optionally choose people under Send to.

  3. Select the form under Form Template (required).

  4. Click Done.

A reply is drafted asking the selected people to fill out the form. Anyone who can see that reply can click the form template tag on it to start a new submission — starting a new submission is always what happens, even if another submission from that same tag is already in progress. When someone submits, a system reply is added noting the form was submitted and by whom, with a link to open that submission.

How to Mark All Notifications as Read

If you've fallen behind on notifications, you don't have to open them one at a time.

Steps:

  1. Click the notification bell icon.

  2. If you have any unread notifications, click Mark all as Read at the top of the panel.

This clears your entire unread backlog, not just the notifications currently visible in the panel, and the unread dot disappears from the bell. The Mark all as Read control itself only appears when you have at least one unread notification.

Understanding Message Tags and System Replies

Tagged people, work orders, and other entities appear as chips in a post's header — for example, a work order chip shows its number. Clicking a header chip opens that entity. System replies (like "Work order WO-1042 was created from this post") work the same way any other reply does and link back to what they reference.

Use Cases

  • A supervisor sees a hazard reported in a post and clicks Create Work Order right from that post, with the description and any photos already carried over — no re-typing what was already written.

  • A second employee reports something already in progress — instead of creating a duplicate work order, the original poster's team links the new post to the existing work order and lets the reporter know it's already being handled.

  • A safety coordinator needs a specific form filled out in response to a post — they send the form directly from the post, and the submission (and its PDF) shows up as a reply once it's done.

  • A manager returns from time off to dozens of unread notifications and clears all of them in one click instead of opening each one.

Best Practices

  1. Use Link to Work Order instead of creating a new one whenever a post duplicates something already reported — it keeps history in one place instead of splitting it across multiple work orders.

  2. Let the system replies do the explaining: since every action (work order created, task created, form submitted) adds a visible reply, you don't need to manually reply explaining what you did.

  3. Check permissions before assuming a disabled action is a bug: a grayed-out Actions item usually means the user's role doesn't have that permission, not an error.

Troubleshooting

Issue: An item in the Actions menu is disabled and can't be clicked.

Solution:

  1. Confirm your role has permission for that action (Create Work Order, Create Task, Link to Work Order, or Send Form) — disabled items are a permissions gate, not a bug.

  2. If you believe you should have that permission, contact your account administrator to review your role's permissions.

Issue: Nothing happened after selecting Create Work Order, Create Task, Link to Work Order, or Send Form.

Solution:

  1. Check for an error toast — if something went wrong, the post is left unchanged and no tag or system reply is created, and the toast explains what happened.

  2. Retry the action; if it continues to fail, contact support with the post and the action you attempted.

Summary

The Actions menu turns any Comms Hub post into a starting point for real work — creating a work order or task, linking to one that already exists, or sending a form — without leaving the post or re-entering what was already reported. Mark all as Read, a separate addition in this release, clears your entire unread notification backlog in one click.
