Import Tool: Export All Fields (Web) - User Guide

Exporting the complete field set for Assets, Inventory, Work Order Templates, Components, Component Tasks, Clients, Contacts, or Bill As Types from the Import tool — not just the basic import template fields.

Overview

The Import tool's Export feature lets administrators download a complete data set for any supported data type — Assets, Inventory, Work Order Templates, Components, Component Tasks, Clients, Contacts, and Bill As Types — including every field on the record, not just the fields needed for a basic import template. This gives administrators a single, complete export to work from for data migration, auditing, or re-import, instead of having to piece the full record together from multiple sources.

Accessing the Import Tool

  1. From the navigation, click Settings, then click Import

  2. Click Import Data to open the import wizard

How to Export All Fields for a Data Type

Steps:

  1. On the Select Data Type step, click the card for the data type you want to export (Assets, Inventory, Work Order Templates, Components, Component Tasks, Clients, Contacts, or Bill As Types)

  2. Click Next to continue to the Upload Data step

  3. Under the Export [Data Type] Data section, click the Export button for that data type

  4. The exported file downloads with every field associated with that object — including fields not present in the basic import template

Note: The Export button on this step is separate from Download Template, which downloads a blank template for new records rather than existing data.

Understanding What's Included

  • The exported file contains the complete field set for the selected data type — for example, exporting Assets now includes fields like Asset Code, Asset Status, Cost, Criticality, Health Score, Notes, External Reference ID, Hour Date, Mileage Date, Purchase Date, and QuickBooks-related fields, in addition to the fields already in the basic template

  • The file format is unchanged (CSV/XLSX, matching the existing export)

  • Exporting works whether the account has 0 records (an empty file with headers) or a large number of records

Use Cases

Data migration: An administrator moving data to another system exports Assets with all fields to ensure nothing is lost in the transfer.

Auditing: A company reviewing its Component Task records exports the complete field set to check data accuracy across every field, not just the ones visible in a basic import.

Re-import preparation: A user planning to bulk-update existing Clients exports the full data set first, edits values in the spreadsheet, then re-imports it.

Best Practices

Export Before Bulk Edits: Always export the current data first so you have a complete backup before making bulk changes and re-importing.

Use the Right Data Type Card: Make sure you select the correct data type card before exporting — each data type has its own field set and export.

Keep the File Format Consistent: Don't manually restructure exported column headers if you plan to re-import the file, since the import mapping step expects the standard field names.

Troubleshooting

Issue: The exported file doesn't seem to include a field I expected.

Solution:

  1. Confirm you exported from the Export [Data Type] Data section under the correct data type card, not the Download Template section.

  2. Contact support if a specific field is still missing from the export.

Issue: The exported file is empty except for headers.

Solution:

  1. This is expected if there are no records of that data type in the account yet — the header row still downloads so the file can be used as a starting point.

Summary

Exporting a data type from the Import tool returns every field on that record, giving administrators a complete data set they can use for migration, auditing, or re-import without assembling it from multiple sources. The export uses the same Export button and file format administrators already know, so there's nothing new to learn to take advantage of it.
