Forms — View Entries (Web) - User Guide

The Forms View Entries page now has a template cards queue, a redesigned submissions table, three export options, and a right drawer for reviewing or editing submissions.

Overview

The Forms View Entries page has been rebuilt with a new template cards queue, a redesigned submissions table, three distinct export options, and a right-side drawer for reviewing or editing a submission without leaving the page.

Accessing View Entries

  1. From the navigation, go to Forms > View Entries.

Browsing by Form Template

The left side of the page shows a Form Templates cards queue — one card per form template, not per submission.

  1. Templates that are collaborative show a Collaborative Form icon on their card.

  2. Click a template card to filter the table to that template's submissions.

  3. To return to all submissions, either click See all submissions, or click the already-selected card again to deselect it.

NOTE: The cards queue itself has no filter controls — it's for browsing templates, not narrowing them.

The Submissions Table

  • Available columns include PDF, Form Name, Form Template Name, Collaborative, Created Date, Created By, Submitters, Submitted, and Submission Counts.

  • The Form Template Name column only appears in the all-submissions view — it's hidden once you've selected a specific template, since every row is already that template.

  • The Collaborative column shows an icon on submissions whose template is collaborative, and is blank otherwise.

  • Use the global search box to narrow results across all visible columns.

  • The Created By and Submitted columns have their own filter dropdowns in addition to the global search.

  • Date range filters offer 7, 14, 30, 45, and 365 days, plus a separate custom date range picker.

  • This same table also appears on an asset's Forms tab (under Documentation).

Customizing Columns

  1. Click the gear icon in the table toolbar to open column settings.

  2. Show/hide columns, reorder them, and resize them as needed.

  3. Click Save Changes to keep your layout, or Restore Defaults to reset it.

NOTE: Column settings are saved per form template and apply the next time you view that template's submissions. In the all-submissions view (no template selected), your column layout is saved to your current browser only and won't follow you to a different device or browser.

Exporting Submissions

Three distinct export options are available, and each behaves differently:

  • Export All — starts a server-side export of every submission. You'll see a confirmation that the export has started, and the file is emailed to you when it's ready — it is not downloaded directly in your browser.

  • Export Filtered — same as Export All, but only includes submissions matching your currently applied filters. Also emailed, with the same "export started" confirmation.

  • Export Selected — with one or more rows checked, downloads a CSV of just those rows directly in your browser. This option is disabled until at least one row is selected.

  • Preview PDF(s) — with one or more rows selected, opens PDFs for only the selected submissions in the PDF viewer. This never includes filtered or all submissions — only what you've explicitly selected.

Reviewing and Editing a Submission

Clicking a submission opens a right drawer instead of a separate modal.

  1. Click a submission's row (in most columns) to open the drawer showing that submission's PDF preview, with options to download it, open it in a new tab, or refresh it.

  2. Click the submission's name to open the drawer directly in edit mode instead.

  3. From the preview, click Edit Submission to switch to edit mode; from edit mode, click Back to Preview to switch back.

  4. Close the drawer at any time — your table selection, filters, and search stay exactly as they were.

NOTE: The drawer shows the PDF preview and the editable submission as two separate views you switch between, not side by side. If you have unsaved edits and try to close the drawer, change templates, or navigate away, you'll be asked to confirm before your changes are discarded.

Use Cases / Examples

Use Case 1: Reviewing one template's recent submissions

A supervisor clicks a specific form template's card, sets the date range to the last 7 days, and reviews submissions using the Created By filter to check on one inspector's work.

Use Case 2: Emailing a full export for offline analysis

An admin needs every submission from the last 45 days for a specific template. They select the template, set the date range, and click Export Filtered — the file arrives by email a short time later.

Use Case 3: Quickly checking a handful of submissions

A user selects three specific rows they're interested in and clicks Export Selected to get an instant CSV download, or Preview PDF(s) to review just those submissions' PDFs.

Use Case 4: Fixing a mistake on a submission

A user clicks a submission's name to open it directly in edit mode within the drawer, corrects an answer, and saves — no separate modal, and their place in the table is preserved when they close the drawer.

Best Practices

  1. Use Export Selected for small, specific sets: If you only need a handful of submissions, Export Selected is instant — save Export All/Filtered for full exports you're comfortable waiting on and receiving by email.

  2. Set up your columns once per template: Column layouts save per template, so a little setup time up front pays off every time you return to that template's submissions.

  3. Use the Created By and Submitted filters for quick narrowing: These columns have their own dropdown filters in addition to the global search box.

Troubleshooting

Issue: I don't see a file after clicking Export All or Export Filtered

Solution:

  1. These exports are emailed, not downloaded — check your email for the completed export

  2. Larger exports may take a few minutes to arrive

Issue: Export Selected is disabled

Solution:

  1. Select at least one row in the table first — this option only works on selected rows

Issue: My column layout reset when I switched to a different template

Solution:

  1. Column settings are saved per template — this is expected, not a bug

  2. Reconfigure and save columns for each template you use regularly

Issue: My column layout didn't carry over to another device

Solution:

  1. In the all-submissions view (no template selected), column settings are saved to your current browser only

  2. Select a specific template first if you need settings that follow you across devices

Summary

The View Entries page now organizes submissions by a template cards queue, a customizable table with per-template column persistence, three distinct export options (Export All and Export Filtered by email, Export Selected as an instant CSV, and Preview PDF(s) for selected rows only), and a right-side drawer for reviewing or editing a submission's PDF without leaving the page or losing your place in the table.
